We're currently looking for an Assistant to join our Human Resources (HR) and Office Administration team. These innovative specialists are passionate about the people that are driving the success of our company and provide support through various HR and General administrative functions.

What You'll Do & How You'll Make an Impact

HR Duties:

  • Collaborate with the Human Resources team, with input from Leaders, to create and maintain branded job descriptions
  • Post open roles on job boards, social media, H2Safety website, etc.
  • Review resumes and shortlist candidates
  • Prescreen and frequently communicate with candidates throughout the recruitment process to ensure a positive candidate experience
  • Work with vendor to complete candidate background and reference checks
  • Administer the Referral Bonus Program (track referrals, work with Finance team to ensure timely bonus payments, respond to employee inquiries, etc.)
  • Provide first-level support for enquiries received via the HR Inbox and Careers Inbox in accordance with internal service standards (i.e., respond to information requests, educate employees on self-service options, escalate requests)
  • Conduct onboarding for new hires (order swag, coordinate onboarding logistics, set up internal training, and track paperwork to ensure compliance)
  • Track and update people data and maintain electronic files
  • Assist with the maintenance of the company's Intranet, H2Connect (i.e., make updates, review content to ensure it remains up to date)
  • Draft, review, and modify HR documentation (i.e., templates, PowerPoint presentations, reports)
  • Collaborate with the Human Resources team and other internal stakeholders to draft company-wide communications (e.g., H2Connect content, email announcements, letters, and supporting resources)
  • Provide coverage for broader HR functions and company initiatives, as necessary

Office Duties

  • Maintain cleanliness and functionality of kitchen equipment.
  • Coordinate with Executive Assistant for inventory management.
  • Organize workspace and manage supplies.
  • Maintain cleanliness throughout the office.
  • Liaise with external vendors, such as building management.
  • Answer incoming phone calls.
  • What We're Looking For
  • Minimum Diploma level training in Human Resources with a preference for Bachelors degree/ degree in progress.
  • High level of integrity and ability to develop trusting relationships with stakeholders while maintaining confidentiality and informational privacy
  • Strong interpersonal, verbal, and written communication skills; ability to work with employees at all levels of our organizations, including executives
  • Strong research, analytical problem-solving, and organizational skills
  • Demonstrated initiative and drive to succeed
  • Proficient in Excel, Word, and Outlook

Bonus Experience

  • Completion of, or working towards, a Chartered Professional in Human Resources (CPHR) designation
  • Experience supporting the Human Resources function, preferably in a Professional Services environment
  • Experience maintaining records within an ATS and/or Human Resource Information System (HRIS)
