DescriptionThe Support Services Administrator tracks all work orders for four (4) departments from creation to completion to recovery from various customers.
Key Responsibilities
  • Work order tracking using Service Fusion for 4 departments
  • Recovery of costs from various internal and external customers using a custom excel worksheet
  • Vendor payments through COUPA
  • Invoice Direct Accounts Receivable: Responsible for invoice preparation; Processing of paying to invoicing; Invoice detail reports; Maintain invoice filing system
  • Responsible for invoice verification and documentation; Tracking and processing invoices from suppliers and vendors. Preparing Purchase Order documentation, communicating with A/P.
  • Communicate with contractors and suppliers
  • Assist with sourcing vendors and research quotes
  • Communicate with Patrol, Maintenance, Meter and Sign departments
  • Update Maintenance and Sign departments monthly work order summaries
  • Process the end of month chargebacks and monthly accruals summaries for Maintenance, Meter and Sign departments for submission to Accounting
  • Maintain Service Fusion software, including creating and updating customer profiles, password resets, reporting and closing of competed work orders
  • General office duties such as ensuring adequate supplies are on hand, etc
  • These are guidelines and express the minimum expectations, other duties may be assigned

Skills, Knowledge and Expertise
  • Post-secondary education in Business Administration preferred
  • Excellent communication and interpersonal skills
  • Minimum of 2 years previous experience in Office Administration required
  • Excellent computer skills including Microsoft Excel, Word, PowerPoint, Teams and Outlook
  • COUPA knowledge / familiarity preferred
  • Knowledge of the Parking Industry is preferred
  • Highly organized and detail oriented with the ability to prioritize
  • Communication and interpersonal skills both written and verbal
  • Able to work independently, in a team and meet multiple deadlines
  • Attention to detail
  • Must posses and retain a valid driver's license
