HOURS: 9am – 5pm, Mon – Fri; 35 hours per week

SALARY: $70,000 per year

PRIMARY FUNCTION

The Project Officer will support the organization by managing the daily operations of the Persons with Disability (PWD) program and project related activities. Supervising the job coach / facilitator and reporting to the Director of Employment Services & Programs, the successful candidate will ensure placements are secured for program participants in addition to the fulfillment of project deliverables.

The successful candidate will be a highly organized, motivated, and productive individual who genuinely cares about the community and has the desire and ability to tackle a high volume of work amid competing and shifting deadlines. The individual must have the ability to manage confidential financial and organizational information, as well as applicants' personal information with absolute discretion.

What you will do:

Planning & Program Development:

  • Assist in developing the internal plans to ensure the effective implementation and efficient operation of projects in accordance with the goals of the department and funders.
  • Strategically plan with job coach / facilitator to ensure targets are met within deadlines.
  • Act as the primary point of contact for program-related activities and audits.
  • Liaise with clients and employers to clarify miscommunications and de-escalate conflicts to foster positive relationships.
  • Conduct comprehensive assessments on program deliverables and collect statistics for further review.
  • Analyze and report program activities and anomalies to director; recommend strategies to optimize program efficiency.

Program Administration:

  • Manage, coordinate, and monitor the execution of all elements of the PWD program and other projects as assigned.
  • Assist in developing screening tools and administrative forms.
  • Screen and intake potential applicants in collaboration with the job coach / facilitator.
  • Assist the Job Coach/Facilitator in securing placement opportunities for program participants.
  • Assist in the development and maintenance of program policies and procedures.
  • Schedule and coordinate program meetings; Manage, maintain, and archive program files and reports.
  • Document project-related correspondences and guidelines for compliance; maintain confidentially at all times.

Human Resources Management:

  • Provide support, advice, and project-related training to the job coach / facilitator and placement students.
  • Conduct performance reviews, assist with progressive disciplinary actions under the direction of the Director.
  • Assist in building and implementing individual Work Plans for the job coach / facilitator.

Financial Management:

  • Coordinate the administrative and financial information of projects, including the financial reports, preparation of briefing, and approval memos to management.
  • Enter agreement and budget information into the tracking system to set up fund accounts and process amendments.

Information Technology:

  • Responsible for ensuring the confidentiality of information entered in the database in conjunction with the Director of Employment Services & Programs.

What you need for this role:

  • College diploma or University Degree in Business Administration, Project Management, or a related field or an equivalent combination of experience and education.
  • Experience with employment programs and clients with disabilities with an understanding of the PWD program preferred.
  • 3 – 5 years' experience in a project coordination/management role, outreaching with community partners and clients.
  • Project management training or demonstrated skill and/or experience is highly desirable.
  • Strong leadership skills and ability to motivate a team towards achievement of goals and high standards.
  • Demonstrated knowledge of, experience with and commitment to dealing with the issues faced by the Black community in Canada.
  • Highly skilled, experienced, and comfortable using MS Office suite, virtual meeting. platforms and online databases; knowledgeable and skilled in using CaMS an asset
  • Ability to read, analyze , and interpret reports to make decision accordingly.
