As our Executive Assistant, you will be working with CGO and will be responsible for scheduling and managing their calendar, including prioritizing and resolving related conflicts and competing demands, proactively scheduling important meetings and maintaining an organized office. The ideal candidate will be a highly motivated individual with a strong business acumen, strong attention to detail and previous experience providing senior level support in a professional environment. Candidate must have the ability to interact diplomatically and professionally, while maintaining the highest level of confidentiality. The ability to work independently, multi-task, and prioritize in a fast-paced environment is crucial.

Your Responsibility:

  • Organize and maintain documents using a systematic filing approach, while continuously seeking ways to improve this process.
  • Monitor and uphold internal controls processes to ensure compliance and efficiency.
  • Deliver routine assistance and information, both verbally and in written form, pertinent to the organization's operations.
  • Manage scheduling of both internal and external appointments for executives.
  • Draft, edit, and revise documents, including internal memoranda and other communications.
  • Coordinate logistics for meetings and events, including agenda preparation, and handle the accurate recording and distribution of meeting minutes.
  • Maintain professional communication with executives at all levels, both within and outside the company.
  • Handle corporate filing requirements and documentation.
  • Undertake additional administrative tasks as needed.

Qualifications for Success:

  • Proven experience as an Executive Assistant or similar administrative role.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Proficiency in MS Office and experience with electronic filing systems.
  • Ability to multitask and prioritize work effectively.
  • High level of discretion and confidentiality.
