Civica Infrastructure Inc. (Civica) is a municipal water resources engineering consulting company located in Vaughan, Ontario. We provide consulting services to both private and public sectors for storm and sanitary sewer capacity assessment and optimization. We are looking for a Project Analyst to join the Field Operations team.

Position Summary:

The Project Analyst plays a crucial role in supporting and advancing project objectives through a multifaceted approach. This role is designed to ensure the seamless coordination of project tasks, the provision of analytical insights to guide decision-making, and the enhancement of communication between project stakeholders. By leveraging technical expertise and analytical skills, the Project Analyst contributes to the optimization of project outcomes, supports the project management process, and ensures that project deliverables meet quality standards and strategic goals. The scope of this role encompasses a comprehensive blend of analytical, managerial, and communicative functions, positioning the Project Analyst as a key facilitator of project success within Civica.

Reporting Relationship:

The Project Analyst will report to the Operational Lead.

Responsibilities:

  1. Project Task Coordination
  • Working closely with project managers to understand project scope and objectives, breaking them down into actionable tasks with milestones and deadlines in coordination with project managers.
  • Checking in with the project managers and updating project schedules to track task progress and identify any delays or issues that could impact project timelines.
  • Proactively identifying potential obstacles or issues that could hinder task completion or project progress, and working with the team to develop solutions and/or make the necessary adjustments.
  • Ensuring that all tasks are completed to the highest quality standards; this involves reviewing work, ensuring work can be reviewed by senior staff in time for submittal, providing feedback, tracking and responding to comments, and coordinating with other quality assurance team members.
  • Maintaining comprehensive records of project plans, external documents and files, task assignments, schedules, budget and financial trackers, progress updates, draft and final submissions, and relevant working documents; ensuring that all project information is organized per company standards and accessible for reporting and future ease of reference.
  • As required, assigning tasks to team members based on skills, experience, and availability.
  1. Technical Support and Data Analysis
  • Gather and compile data from various sources that are relevant to the project's goals.
  • Ensure the accuracy and integrity of data through careful cleaning, validation, and management practices.
  • Apply analytical and statistical methods and tools to interpret data, identify trends, and/or extract actionable insights that inform project strategies and decisions.
  • Develop clear, comprehensive reports that summarize analytical findings, including creating visualization tools such as charts, graphs, and figures that make complex data understandable for stakeholders.
  • Staying up to date with advances in field-specific analytical techniques, tools, and technologies to continuously improve.
  • Delivering direction to field teams based on project objectives, standards, and best practices.
  • Overseeing the quality of technical deliverables from field operations, ensuring that the work adheres to project specifications and industry standards.
  • Assisting in solving field challenges, troubleshooting and resolving technical challenges encountered by field teams.
  1. GIS Mapping and Analysis
  • Collect, store, and manage spatial data in Civica's geographic information system (GIS) platforms; this involves ensuring data accuracy, updating databases, and maintaining GIS source file integrity.
  • Create detailed and visually compelling maps using Civica GIS templates that illustrate various data points, patterns, and trends relevant to project goals; this includes customized maps and figures for specific stakeholder presentations and reports.
  • Perform spatial analysis to extract meaningful insights from GIS data.
  • Integrate GIS data with other project data to provide a comprehensive view of project variables.
  • Clearly communicating the results of GIS-based analysis to project teams and stakeholders.
  1. Modelling Support
  • Developing models using Civica's hydraulic and hydrologic modelling tools to simulate watersheds, stormwater networks, and sanitary sewer systems; includes calibrating models to ensure that they reflect real-world conditions based on measured historical data.
  • Running various scenarios through these models to assess the impacts of different conditions or changes (e.g., land development, infrastructure improvements, I/I reductions, etc.).
  • Analyzing model outputs and using these insights to recommend solutions or mitigation strategies to project stakeholders.
  • Assisting in report preparation and creating visualizations of model results for technical and non-technical audiences.
  • Working closely with project managers and engineers to ensure that the models meet the project's needs and objectives, and conform to accepted parameters.
  • Diligently documenting model parameters, assumptions, calibration processes, scenario analyses, and revisions; ensuring that all modelling work is transparent, reproducible, and easily accessible for future reference and/or audits, contributing to Civica's knowledge base and facilitating seamless collaboration and hand-overs.
  1. Report Writing and Stakeholder Communication
  • Compiling, analyzing, and presenting project data to create useful reports that highlight key findings and actionable recommendations clearly communicated to the relevant stakeholders; this function bridges the gap between technical analysis and decision-making.
  • Reports should be tailored to the specific needs and knowledge levels of different stakeholders with clarity and accessibility.
  • Crafting concise and accurate executive summaries that capture the essence of the report's findings and recommendations, allowing busy decision-makers to quickly grasp the significance of the report without delving into technical detail.
  • Presenting findings to stakeholders through meetings, presentations, and written communication.
  • Actively seeking feedback from stakeholders to refine the reports and analyses; tracking this feedback and ensuring that all stakeholder comments are addressed.
  • Ensuring that all reports and project-related communication are well-documented and stored in an accessible manner to facilitate future reference and information continuity.
  • Serving as a point of contact for project-related queries and updates; includes facilitating communication between team members, project managers, and external stakeholders to ensure that everyone is informed and aligned on project objectives and progress.
  1. Deputy Project Management (as required)
  • Acting as a secondary leader or support to the primary project manager, ensuring project continuity and effective execution; this function maintains project momentum, ensuring that every aspect of the project is effectively managed and aligned with overall objectives, especially when the primary project manager is unavailable or when the project requires additional support.
  • Assisting the project manager in developing project plans, schedules, and budgets.
  • Coordinating project tasks among team members, ensuring that expectations are clear and that the tasks are completed at the required quality and on time.
  • Serving as a communication link between the project team and stakeholders.
  • Assisting in identifying potential risks to project timelines, budgets, or outcomes and working with the project manager to develop mitigation strategies and contingency plans.
  • Ensuring thorough documentation of project activities, meetings, decisions, or changes.
  • Assisting in reports and presentations for internal and external stakeholders.
  • Supporting efforts the maintain the highest project quality standards, carefully reviewing deliverables for adherence to quality standards.
  • Providing support and guidance to project team members, stepping into a leadership role in the absence of a project manager or when delegated specific leadership tasks.

Measurables:

  • 90% billable utilization on projects.
  • 80% of tasks completed on time according to the project schedule.
  • Client and internal quality assurance satisfaction with deliverable quality as a Net Promoter Score (i.e., “promoters” score 9-10 out of 10 and “detractors” score 0-6 out of 10, and the NPS = promoter % - detractor %), aiming for greater than 30.
