THE ROLE: Accounting & Payroll Administrator

THE LOCATION: Calgary, AB

Join our dynamic Finance and Operations Team as an Accounting & Payroll Administrator where you will play a pivotal role in enhancing our financial and operational practices. This position requires a comprehensive blend of skills in accounting, payroll management, and general business operations. The ideal candidate will be a dependable professional with exceptional attention to detail, eager to drive process improvements and embrace automation.

THE RESPONSIBILITIES:

Accounting & Operations:

  • Manage all aspects of day-to-day bookkeeping and accounting processes using QuickBooks Online Advanced, ensuring accurate financial records under ASPE
  • Execute weekly payouts and advances to event organizers with meticulous attention to detail and consistency
  • Handle ad hoc entries and disbursements for loans and foreign exchange services to event organizers, known internally as Showire
  • Oversee accounts payable for vendors, optimizing cash flow and securing payment term discounts
  • Manage billing and receivables collections for event organizers, ensuring accuracy and timeliness
  • Prepare and deliver weekly and monthly custom reporting for our key event organizers
  • Perform HST/GST filings and remittances, meeting all regulatory deadlines with accuracy
  • Track vendor contracts and renewals, ensuring engagement from necessary company members for evaluations or renegotiations
  • Support larger cross-departmental operational projects as required
  • Tackle ad hoc tasks and projects requiring financial and data analysis skills

Payroll Administration:

  • Process payroll accurately and timely using Worklinks (currently monthly)
  • Stay up to date with relevant payroll regulations and cross-country legislation
  • Track and update employee allowance changes in Worklinks and perform internal audits of team adherence to policies, such as gym allowance audits
  • Act as lead in responding to CRA payroll-related inquiries
  • Generate and submit ROEs and compile annual T4s and other payroll documents
  • Collaborate with relevant teams to review contractor invoices, clarify discrepancies, and facilitate global payments using Rippling (global workforce management system)

THE QUALIFICATIONS:

  • Certificate or degree in Accounting, Business Administration, Payroll or a related field
  • Minimum 2 years of experience in accounting administration
  • Minimum 2 years of experience in payroll administration
  • Strong multitasking skills with the ability to manage various priorities and tight deadlines
  • Experience with QuickBooks Online Advanced account and Worklinks payroll softwares
  • Thorough knowledge of the Accounting Standards for Private Enterprises (ASPE)
  • Detailed understanding of best practice in payroll legislation in Alberta, BC, Ontario, and Quebec
  • Ability to handle sensitive information with confidentiality and care
  • High level of accuracy and meticulous attention to detail
  • Strong verbal and written communication skills, with the ability to explain complex information clearly
  • Excitement about implementing operational improvements and automation to enhance efficiency
  • A team player with a self-starter attitude, ready to take initiative and lead improvements
