JOB SUMMARY: The Accounting Clerk and Payroll Back Up plays a vital dual role in our finance team by managing accounts payable and providing crucial backup support for payroll. This position requires a detail-oriented individual with excellent organizational skills, capable of multitasking and adapting to the dynamic needs of the team. The ideal candidate will have the personality and temperament necessary to support a diverse administrative team and interact effectively with staff at all levels.
REPORTS TO: Finance Manager
KEY DUTIES & RESPONSIBILTIES (includes but not limited to):
  1. Maintain accounts payable ledger by verifying and posting all supplier invoices and payables transactions.
  2. Keep accurate supplier files and records.
  3. Conduct monthly reconciliation of the accounts payable ledger to ensure all entries are valid and appropriately addressed.
  4. Record all monthly credit card transactions.
  5. Manage vendor payments through BMO Online Banking for Business and maintain up-to-date banking information for new and inactive payees.
  6. Prepare bank deposits and maintain a systematic deposit filing system.
  7. Perform monthly bank reconciliations.
  8. Scan invoices, cheques, and other documents for digital backup.
  9. Handle general accounting and banking tasks as needed.
  10. Investigate and resolve any transaction discrepancies or issues.
  11. Manage data and ensure its accuracy and confidentiality.
  12. Provide documentation and support during the annual audit.
  13. Assist colleagues and provide support as necessary, ensuring a collaborative work environment.
  14. Serve as a backup to the payroll team, including recording bi-weekly payroll entries in QuickBooks and assisting with payroll reporting and other duties as needed.
  15. Perform additional duties as assigned.

QUALIFICATIONS AND SKILLS:
  1. Certificate or Diploma in Accounting preferred.
  2. 1-3 years of practical experience in an accounts payable or similar financial role.
  3. Proficiency in QuickBooks Enterprise desktop and strong computer skills in a Microsoft Windows environment, including Microsoft Word and Excel.
  4. Excellent oral, written, and interpersonal communication skills.
  5. Strong analytical skills and proficient in reconciliation.
  6. Superior organizational and prioritization skills.
  7. An understanding of the accounts payable process and proactive problem-solving skills.
