Primesite Research Solutions is an Integrative Research Organization and Site Network based out of Western Canada. We conduct phase I, II, III, IV clinical trials in various clinical areas. We are seeking a research administrative assistant for our growing site network. This position requires a self-motivated, organized, and accountable individual with strong attention to detail. The applicant must have the ability to prioritize and multi-task in a complex rapidly changing environment and must be able to promote teamwork, collaboration, and problem-solving skills. In this position the research administrative assistant will work under the supervision of the research financial coordinator/administrator and research manager to fulfill administrative and financial responsibilities. This is a hybrid position (with some on-site work) and requires a strong/stable internet connection.

Key Responsibilities:

  • Assist with building tracking logs and study budget templates
  • Assist with entering study bills and payments into accounting system
  • Assist with invoicing external sources based on study contracts and budgets
  • Process internal and external bill payments for study expenses
  • Reconcile payments received for study activities, identify any errors/discrepancies
  • Organize and maintain project/task management system, clinical trials management system (CTMS) and/or tracking logs for payments and invoicing
  • Follow up on unpaid invoices and escalating to management as needed
  • Assist with monitoring research account balances
  • Prepare research account update/closure forms
  • Organize, prioritize and respond appropriately to incoming correspondence
  • Maintain optimal office systems, processes and equipment
  • Communicate with various departments and correspond with sponsors
  • Work effectively with team members and manager to ensure open communication and efficient prioritization of all assigned responsibilities
  • Other administrative responsibilities as required

Qualifications:

  • Diploma or degree from recognized post-secondary institution
  • Previous administrative and bookkeeping experience is an asset
  • Experience working in clinical trials/research would be an asset
  • Strong prioritization skills, able to multi-task several different projects/issues at any one given time
  • Ability to meet deadlines and shift work priorities as required within reasonable time frame
  • Proficient computer experience required: Microsoft Word/Excel, Google Sheets/Doc
  • Tech savvy, willingness to learn and adapt to new technologies, and ability to proficiently use required technologies and applications: online software including for meetings, training, timesheets, project/task management, accounting, document management and CTMS
  • Self-directed/motivated and able to work with minimal supervision
  • Strong independent learning and problem-solving skills
  • Ability to work within a team is mandatory
  • Well-developed communication and interpersonal skills are essential
