DUTIES & RESPONSIBLITIES
Consult with clients, partners and other entities, submit questions and requests for clarification to help complete proposals.
Liaise with design firms and consultants.
Prepare proposals for projects, funding or business development.
Prepare proposal schedules outlining deliverables for each contributor, and managing the completion of tasks according to pre-determined deadlines.
Perform extensive research on the prospective proposal to better understand client or grant needs, organizational structure, and past similar projects.
Manage multiple proposals at a time ensuring each is organized and prioritized according to the submission dates and proposal complexity.
Coordinate the submission of proposal content from various contributors and departments.
Manage the development and design of the proposal including (but not limited to) preparing document outlines, writing proposal content, and obtaining graphics, and other tasks required.
Maintain a strong understanding of the status of proposals and their content and provide updates to managers and identify any areas that require improvement or additional attention.
Prepare and finalize proposals for submission including presentation material, if required.
REQUIREMENTS & SKILLS
Proven work experience as a Proposal / Grant Coordinator or similar role.
High level of accuracy and attention to detail.
Strong communication and interpersonal skills.
Demonstrated proficiency with technology and software (Office 365, Adobe InDesign, Acrobat, Photoshop, InDesign, Miro).
Ability to multi-task and manage multiple pursuits/projects at one time.
Time management skills, adhering to fixed deadlines.
Prime Contractor, developer or consultant firm experience is considered an asset.
KEY COMPETENCIES
Communication: Strong writing skills for proposal drafting, and effective oral communication skills to assign tasks and sections to other team members or departments for completion.
Organization: Managing the different parts of bids and multiple proposals all at once and organize a cohesive document for submission.
Experience with word processing: Experience and knowledge of word processing software to format documents, create content, and plan proposals.
Attention to detail: Review and finalize proposals by identifying the intricacies of the client's requests and correcting errors or inconsistencies in the document.
Creativity: Design new and captivating ways to present information to ensure proposals are appealing to prospective clients and demonstrate the abilities of the organization and the proposed team members.
Project management: Time and project management skills to consistently meet the submission deliverables and deadlines outlined in the RFP.
Editing skills: Review documents and make revisions for spelling, grammar, punctuation, and sentence structure.
Teamwork and collaboration: Must be able to collaborate effectively and efficiently with multiple contributors and conduct various levels of review before submission.
