Industry Guest Relations Coordinator Job Description

We acknowledge the land on which we gather, Moh'kinsstis, is the ancestral territory of the Siksikaitsitapi—the Blackfoot people—comprising the Siksika, Kainai, and Piikani Nations, as well as Treaty 7 signatories, the Tsuut'ina Nation, and the Îyâxe Nakoda Bearspaw, Chiniki, and Wesley First Nations. Job Summary:

We are excited to announce that we are gearing up for our 25th annual Calgary International Film Festival. This means we have the need for an Industry Relations Coordinator, dedicated to assisting the CIFF's Programming Team, Industry Specialist, and festival guests. We are looking for an energetic individual who is committed to detailed, friendly work and creating the best festival experience for our invited and paid industry guests.

This is a Part-Time to Full-Time seasonal position beginning Juy 1, 2024 and ending October 15, 2024.

Day to Day Responsibilities:

  • Secure guest flights and accommodations under the supervision of of the Industry Specialist and Artistic Director
  • Engage in day-to-day operation of the Industry Department including building and maintaining relationships with Industry and Hospitality Partners
  • Track and maintain the Industry Relations Budget under the supervision of the Industry Specialist, Artistic Director and staff Bookkeeper
  • Extend Industry Guest invitations under supervision of the Programming Team and Industry Specialist
  • Create and distribute Industry Guest passes and tickets working alongside Box Office
  • During the festival, oversee Industry Guest Registration and Check-in and Industry Guest Registration Volunteers
  • Gather guest statistics for post-festival reports working alongside the Industry Specialist
  • Assist in Administrative duties for Industry Specialist and the Programming Team
  • Other duties as assigned

Job Qualifications:

The successful candidate will have demonstrated the following in their cover letter and resume:

  • Marketing, Event Marketing, and/or Event Management experience
  • A high attention to detail with excellent organizational and time management skills
  • Excellent verbal and written communication skills
  • Possess the ability to work reliably and responsibly, both independently and in a team environment
  • Aptitude for fostering positive relationships
  • Experience with managing steep learning curves in job environments with a high degree of variability
  • Customer service experience is desirable
  • Knowledge of booking flights, cars and hotels is desirable
  • Independent problem solving capacity
  • A passion for the non-profit sector and more specifically the arts community and screen-based industry is desirable
  • Experience with Asana, Slack and event management software is an asset

Approximate Hours of Work

An approximation of hours per week is below, dependent on operational needs and business flow. It is understood that shift work, weekend work, and work on statutory holidays may or will be required.

  • 20 hours per week: July 1 - July 31; End of Festival - October 15
  • 40 hours per week: August 1 - End of Festival
  • Some overtime and weekend work will be required and compensated appropriately
