REPORTS TO: Client and Business Services Supervisor
LOCATION: Initial Placement- Brant Sports Complex
Minimum Qualifications:
  • Post-secondary school education or equivalent combination of education and experience
  • One to two years of customer service/office administration related experience
  • Experience working in a team environment and giving directions to others.
  • Experience learning complex software systems (e.g. Active Net, TEEM)
  • Proficiency with MS Office including Microsoft Word, Excel, Outlook, and Publisher
  • Experience with cash handling including use of Point of Sale (POS) systems.
  • Exceptional customer services skills
  • Demonstrated organizational and strong verbal and written communication skills with a high degree of initiative and self-direction.
  • Ability to work in a fast-paced team environment with a high degree of professionalism with minimal supervision.
  • Ability to work daytime hours with occasional evening and weekend hours.
  • Current Emergency First Aid, CPR, AED certification (or ability to complete within 60 days)
  • Ability to travel throughout the County as necessary for work.
  • Acceptable Police Records Check.
Assets:
  • Experience working in a municipal recreation setting (customer service, recreation programming or facility operations)
  • Understanding of sport organization and community group programming and facility requirements
  • Experience with Active Net recreation software system.
Duties:
  • Serving as the primary point of contact for the Brant Sports Complex, answering telephones, greeting customers, and communicating with staff regarding facility issues
  • Provide excellent customer service at the community services reception desk at the Brant Sports Complex by responding to all inquiries whether pertaining to Community Services or other corporate services.
  • Distribute keys to user groups and direct users to correct rooms and meeting spaces.
  • Complete daily point-of-sale transactions and prepare cash balance reports at the end of each shift.
  • Receive and receipt payments from clients.
  • Checking sport organization schedules online and developing and posting dressing room schedules into scheduling software, and double-checking/correcting PT CSR entries
  • Processing of program registration
  • Processing dog park memberships, dog tags, tennis memberships, and skate/swim memberships
  • Processing of incoming facility booking requests, permits, and related documents.
  • Administrative functions such as cash handling, bank deposits, preparing documents and marketing materials, and filing.
  • Assist with monitoring of the Facility Booking email account and responding to inquiries.
  • Review and respond to incoming emails.
  • Orientation and training new part-time staff (6 -12 weeks) and providing training when policies and procedures change.
  • Update electronic message centers and ensure facility marketing documents are available for customers.
  • Monitoring of the public and responding to issues related to the facility code of conduct.
  • Light housekeeping duties in the office area
  • Other duties as assigned.
Detailed Responsibilities:
  • Ensuring a consistent delivery of services is offered by responding to inquiries at the time of contact or within 24 hours.
  • Coordination of daily priorities with co-workers, as well as providing functional advice and direction to part-time staff to ensure tasks are organized and completed in a timely fashion.
  • With a high degree of accuracy, inputting rental contracts within a tight timeline.
  • Finalize contracts with clients, review content, and obtain signatures and payments.
  • Discuss procedures with clients regarding Special Occasion Permit rentals, book the rental and follow-up with customers to obtain permits, insurance coverage and payment with the established timelines.
  • Meeting with prospective clients to view rental facilities, prepare permits, sign documents, collect payments and file documents.
  • Precisely complete multiple contract amendments as per instructions from facility users and document through on-going correspondence
  • Accurately input scheduled maintenance and facility closures to optimize facility availability.
  • Providing administrative support to the Community Services Department, Facility Booking Office
  • Respond to rental enquiries for the Cowan Health Hub and process rental permits in ActiveNet as well as the TEEM software.
  • Preparing and posting notices and cancellation on the website and social media platforms
  • Performing quality assurance checks of the community services website content.
  • Communicating with supervisors and customers regarding financial account transactions
Annual Salary Range: $51,925 – $60,733 (Job Grade 2 – Under Review) 35 hours per week
Hours of Work: Variable Hours (8:30am – 10:30pm) with scheduled evening and weekend work.
