Organizational Background:

BC Care Providers Association (BCCPA) is a non-profit association representing service providers in long-term care and assisted living in British Columbia. Through our operating arm EngAge BC, the association also represents the interests of B.C.'s vital independent living and home health care sectors. Objective:

The Programs Administrator will assist with financial administration, operations, reports and promotional activities of a variety of essential programs.

Position Summary:

  • The position reports to the Director of Programs and Org. Development
  • The core business operating hours are 9:00 am to 5:00 pm with a 30-minute lunch break
  • Hybrid office with a mix of in-office and remote work
  • A twelve-month term position is expected to start when funding is received with an annual term renewal

Duties and Responsibilities:

Member and Customer Experience Management:

  1. Act as the internal and external liaison for sector partners and members to ensure a consistent and valuable programs experience
  2. Provide accurate information and quality customer experience for inquiries on all programs through multiple channels such as live chat, incoming calls, and emails
  3. Notify applicants, customers or partners of additional information required in a timely manner
  4. Provide general support to students or applicants needing assistance with claim or grant submission process

Administrative and Finance Support:

  1. Maintain program, project, participant and application records including but not limited to correspondence, applications, supporting documents, and other publications
  2. Prepare and reconcile invoice, receipts and reports for finance, bookkeeping, claims and grant payments
  3. Obtain and track documents per program such as approval/acceptance letters, extension approvals, amendments, support letters, program impact stories, and consents for releases, etc.
  4. Preparing general documents like approval/acceptance letters for program applicants
  5. Provide administrative support which includes taking meeting minutes, membership onboarding, and student orientation

Data Upkeep, Analysis and System Reviews:

  1. Maintain, collect and analyze statistical data to prepare scheduled and specialized reports
  2. Assist in testing system updates and providing feedback as per project lead direction
  3. Update and maintain data in multiple systems

Marketing and Promotions:

  1. Act as the internal and external operational liaison for program marketing and education of potential applicants, customers, partners or members
  2. Provide information to members and getting them set up with programs access (Assurity portal access, providing marketing materials etc.)
  3. Assistance with member outreach, sales and engagement demonstrating programs value

Knowledge, Abilities and Skills Required

Knowledge:

  • Record maintenance, cheque requisitions and budgeting
  • Data and content management
  • Communication principles, media, sales and marketing techniques
  • Nice to have knowledge of the senior health and wellness sector such as Home Health, Assisted Living, Long-Term Care or Independent Living is an asset

Abilities:

  • Organize and review invoices and receipts for grant amount calculations
  • Process high volumes of claim submissions and grant payments in an efficient and effective manner

Qualifications

  1. Certificate or degree with a background in Business Administration, Office Administration, Program Administration or related discipline preferred
  2. Minimum one-year work related experience with exemplary customer centric orientation
