Work Arrangement: Onsite: You'll work primarily onsite from an ATB corporate office, with some remote flexibility to work from another ATB location, or home office.

This Executive Assistant role - what we call internally a Business Coordinator - is tailor made for someone who loves connecting with people, solving problems, and making an impact using their resourcefulness and a desire to add value. In a team of 3, this role leans more towards curating data and reports, as well as supporting our executive leaders. You are adept with technologies and enjoy leveraging them to provide high quality business support and enable capacity across Risk Management.

Specific accountabilities include, but are not limited to:

  • Executive level assistance to the executive team of Risk Management.
  • Manage, organize, and support the senior Risk Leaders and direct reports. Completing initiatives and projects ensuring strategic objectives are achieved, timelines are met, and associates are accountable for their deliverables. Including but not limited to, submitting monthly AP invoices, OAG audit file request submissions, and maintaining process guides.
  • You are an organizer, providing coordination and administrative support to the team by managing all administrative activities including but not subject to, managing multiple calendars, travel, FM requests, event planning, reporting.
  • You will assist in receiving and reviewing submissions, coordinating meetings, and recording all Credit Committee/Risk Advisory Committee decisions; facilitating the distribution of delegation of lending authorities within the group. You will assist in the Business Banking and EFS Risk Appetite meetings which includes but are not limited to: sending calendar invites, compiling agenda items, and taking meeting minutes.
  • You can gather, organize and utilize information to develop, update and revise spreadsheets in support of portfolio management. You are familiar with spreadsheets and can assist in manipulating (ie pivot tables), calculating, summarizing and reporting data.
  • You will assist in the smooth functioning of Credit's data collection tool (GOATS) and related processes to ensure the timely and accurate collection of data relating to credit submissions. This data informs Credit of issues and deficiencies that need to be addressed and form the basis of discussions with Business Underwriting and leadership.
  • You assist in onboarding of new team members, including technical assistance, securing IT assets and following the ATB's myStart program. You provide assistance and training for team members on new processes and platforms and create a WOW experience for all team members.
  • You have excellent verbal and written communication skills that you will use when preparing or proofreading a variety of correspondence of a diverse nature and sometimes highly confidential nature, including letters, emails, reports and presentations for audiences at all levels in the organization. This can include Executive and Board level correspondence, communication, and reporting.
  • You are valued by your colleagues and customers as the knowledgeable go-to person who finds answers, delivers smart, simple and helpful solutions and finds a way to get things done accurately and on time, and can create job aids and templates for the team to continue these efficiencies.
  • You are known as approachable, collaborative and agile. You look for opportunities to work together with others with an eye towards finding efficiencies. You have a reputation for being extremely professional, delivering exceptional customer service, all while having fun doing it!
  • You are able to pull, validate, analyze and maintain bi-weekly, monthly, and quarterly reports. You are responsible for updating the portfolio tracker and upkeeping quarterly balance updates, and maintaining PMI tracking/changes and requests.
  • You enjoy making things balance and reconciling which is great as you will be responsible for reviewing expenses and invoices, coding, submitting for payment while keeping an eye on the applicable budgets.

Requirements

  • Minimum 3+ years of Executive Administrative experience and a post secondary education in administration, accounting or other related administrative courses would be beneficial.
  • Works with limited supervision, largely expected to function with limited guidance, expected to anticipate needs and initiate action to facilitate the satisfaction of that need either by themselves or through their group.
  • You have a passion for data analytics and data management. You have demonstrated an ability to work with several different teams, effectively managing your time and balancing multiple, sometimes changing priorities.
  • Knowledge of ATB's processes, products and business units including Facilities Management procedures and administration is an asset.
  • Proficiency in the Google Suite Office products and/or Microsoft Office Suite as well as in Adobe Pro and/or other PDF software. Must be tech savvy and have a positive and collaborative outlook to facilitate interaction with others.
  • You have a solid knowledge of business rules, processes and policies and use this to make recommendations for identifying opportunities and solutions. Strong oral and written business communication skills, with high attention to detail, financial acumen, and analytical capabilities.
  • Superior organizational and time management skills, including coordinating international scheduling.
  • Ability to maintain confidentiality.
