The Team and Job Summary

We are seeking an Administrative Analyst to join our Forensic Architecture and Engineering team. This is a unique opportunity for an entrepreneurial, highly driven person with a well-rounded skill set to join the Forensic Architecture & Engineering team, whose responsibilities extend beyond those of a traditional Admin Analyst. The ideal person for this role will need to not only have a strong grasp of administrative responsibilities but also be flexible and a strategic thinker able to take on a variety of tasks.

Job Responsibilities

Administrative Support for Forensic Architecture & Engineering Staff

  • Assist with setting up a new project, including determining whether initial information is sufficient and contacting clients to obtain needed information.
  • Monitor and maintain project/assignment information in various computing systems, including following up with staff to obtain missing and needed information.
  • Assist with project appointment scheduling such as site visits.
  • Assist with project file organization.
  • Assist with the completion of Health and Safety forms such as JHA (Job Hazzard Assessment) and monthly VIF (Vehicle Information Forms).
  • Produce, compose, review, and edit memos, letters, minutes of meetings, spreadsheets, etc., with technical writing skills being a key asset.
  • Provide general administrative support as needed.
  • Operate and maintain all typical office equipment, coordinating service and troubleshooting.
  • Order, receive, maintain, stock inventory and distribute office supplies.
  • Maintain cleanliness and orderliness of the office and the kitchen.

Required Qualifications

  • Previous experience in an administrative role; including data entry and data management.
  • Previous experience within the insurance services and/or legal services industries.
  • Ability to prioritize and/or multitask as needed.
  • Ability to work in a fast-paced work environment.
  • Excellent time management skills.
  • Excellent written and verbal communication skills.
  • Organized, accurate and detail-oriented, with a proven ability to meet deadlines and complete assigned tasks in a timely, professional manner.
  • Team player – must work well with others, as part of a team
  • Excellent grammar, spelling, and English skills; written and oral
  • Microsoft Office required. Must be proficient in Excel, Word, Outlook, etc. and can embrace new technology.
  • Demonstrable job stability.
  • Able to attend at least two days per week, preferably three days, at the J.S.Held Etobicoke, Ontario office.

Preferred Qualifications

  • College Degree preferred.
