We are currently seeking an experienced Project Coordinator to join our Team. This is an office-based role (on-site) in our Burlington office.

Key Purpose

The Senior Project Coordinator is an integral member of the project team, responsible for delivering construction projects of varying sizes and complexity. Under the direction of the Project Manager, the Project Coordinator is responsible for directing, organizing, and controlling project activities, while providing the project team with the most accurate and up-to-date information.

Key Responsibilities and Duties

  • Create and maintain weekly tracking of baseline vs. actual construction schedules, anticipate schedule short-comings, and report to Project Manager
  • Ensure the project schedule is kept up to date and accurately tracked
  • Create, issue, and track construction documentation real time on a proactive basis using the construction management software system
  • Research and pre-qualify trade contractors and other vendors in various locals across Canada
  • Prepare and maintain the trade list on a per project basis
  • Maintain sub-trade and vendor database
  • Assemble, issue, and track tenders for sub-contracted work to trades and vendors
  • Review, qualify, and tabulate tender responses
  • Maintain purchase order documentation and update budget
  • Acquire product manuals, warranty letters, inspection reports, and certifications from sub-trades to create project close out packages
  • Issue certification documentation to client for training on use of systems and handover of project
  • Maintain all documents and logs, ensuring that all testing, inspection, and verification documents from the site are discussed with the Project Executive for distribution to the corresponding Designer/Engineer for review and approval
  • Take calls and set up responsive action for post-construction client support on warranty issues
  • Organize and ensure construction billing documentation is delivered to the Finance department accurately and on time
  • Ensure that all safety policies and procedures are being completed with the coordination of the HSE Manager
  • Ensure that the close out is completed within the required timeframe on all projects
  • Close out with the client and the city in order to close all applicable permits under AHJ and coordinate with the Project Manager and Project Engineer
  • Provide support and insight to the Project Manager and Site Superintendents

Education and Experience Requirements

  • Post Secondary diploma or bachelor's degree
  • Minimum of 5 - 10 years experience in a similar role
  • Experience within the construction industry is considered an asset
  • Billingual in French would be an asset
