Our Mission: Onward Homes focuses on creating, renovating, and expertly managing properties to provide homes for over 2,000 individuals, predominantly with lower incomes. We work closely with over 50 social-service agencies to introduce residents who require support. What we need from this role

The Office Manager is responsible for the organization and coordination of office operations, policies and processes to ensure it runs smoothly and effectively, with the goal of maintaining and increasing the efficiency of Onwards core business functions. The job is multi-faceted but the primary role of the Office Manager is to make it possible for other employees to function effectively and efficiently.

Some of the key responsibilities for this role include :

Administrative

  • Manage all office operations effectively including the service contracts (cell phones, IT services, shredding and photocopier)
  • Ensure filing systems are maintained and current while ensuring the security and confidentiality of all data
  • Maintain an up-to-date inventory of all Onward-owned property; hardware, software, cell phones, keys and swipe cards
  • Manage all digital systems; SharePoint, Teams, Zoom, Adobe and other applicable software
  • Assist in developing, monitoring and adhering to budgets related to office and business administration

Operations

  • Coordinate any required maintenance for the office(s) with building property manager(s) (temperature, lights, etc.) and other contractors (e.g., photocopier repairs)
  • Work closely with the senior leadership team to ensure operational, administrative, and compliance functions are being properly executed
  • Assist with refreshing existing community spaces or setting up community spaces in new buildings by sourcing furniture and artwork
  • Assist with coordinating appointments and meetings in conjunction with managing staff calendars and schedules

Events & Social Committee

  • Provide leadership, and logistical and administrative support for regular and one-off events and projects
  • Assist with staff training and development by scheduling employees, booking venues, making reservations, organizing catering and other activities
  • Coordinate the creation of birthday cards and other life event recognitions, including organizing staff gatherings as appropriate
  • Assist with the logistics for key initiatives (as requested), such as the delivery of holiday gifts to Horizon residents and the rollout of the biennial Resident Satisfaction Survey
  • Assist with Onward's fundraising events such as the charitable casino
  • Arrange catering for staff and board events and meetings
  • Manage the Onward social committee and organize monthly employee social gatherings
  • Assist in maintaining a safe, secure, productive and fun working environment for all

What you bring

To be successful in this role, you will need to have the following:

  • A clear criminal background check/vulnerable sector check
  • A valid driver's license and a reliable vehicle
  • Post-secondary diploma or degree in business administration or related field, or equivalent experience
  • Solid MS Office suite skills
  • Proven experience developing and maintaining administrative processes
  • Strong communication and teamwork skills, as well as excellent attention to detail
  • Minimum 3 years of related work experience with a demonstrated increase in levels of responsibility
  • Possess skills required to handle difficult situations effectively in response to a variety of concerns and requests
  • Must be organized, adaptable and have a high level of accuracy.
  • Must be able to work independently with minimal supervision.
  • Sound judgment and the ability to maintain confidentiality

You will have an advantage over other candidates if you also have:

  • Direct experience working with vulnerable populations.
  • Experience working with a not-for-profit (bonus points if it was a housing organization)
  • Yardi software skills

Working environment, conditions and physical demands

The position entails moderate physical activity such as property visits, alongside computer and desk work. The work environment may occasionally be stressful due to handling sensitive situations, managing competing priorities, and meeting tight deadlines. Hours are typically 37.5 per week but may vary based on circumstances, occasionally requiring after-hours and weekend work.

  • A competitive salary
  • Potential performance bonus: Up to 5%
