Steel River Group is seeking a Project Coordinator – General Construction to join our growing team of experienced and dedicated professionals. The Project Coordinator will be an integral part in planning, organizing and directing the activities of a construction project, under the direction of a general manager. You will work on-site most of the time, looking after the day-to-day responsibilities of the project.. Steel River Group is seeking a Project Coordinator – General Construction to join our growing team of experienced and dedicated professionals. The Project Coordinator will be an integral part in planning, organizing and directing the activities of a construction project, under the direction of a general manager. Key Job Duties:
- Work alongside experienced project managers to learn the keys to client relationship building and successful project delivery.
- Provide project support to Project Managers by performing schedule updates, maintaining project controls, developing progress reports and preparing tender and contract documents.
- Attend various project meetings, capturing accurate action items and key decisions in meeting minutes.
- Provide a communication path between the Project Manager and other project stakeholders.
- Ensure that project activities are conducted in accordance with Steel River Group's Policies and Procedures.
- Utilize Buildertrend and Microsoft Office Suite to create project organization and communication charts for clear communication within the project team.
- Participate in all Project Meetings, document meeting minutes, and distribute them to relevant parties.
- Effectively communicate project-related information, prioritize stakeholder needs and ensure timely and cost-effective fulfillment of project deliverables.
- Compile, prepare, and review all monthly claims, including Trade and Supplier invoices and supporting documentation.
- Engage with trade contractors and suppliers regarding invoices and project schedules.
- Maintain a diligent follow-up system with Site Superintendents and Project Managers regarding invoice status and signature requirements, ensuring that accounting processes and payment commitments are met.
- Manage effective follow-up on Requests for Information (RFIs), Site Instructions (SIs), and other project-related queries to ensure timely responses and resolutions.
- Manage the receipt, distribution, and filing of Shop Drawings to maintain an organized project documentation system.
- Perform daily filing duties, reports, and other essential documents, ensuring easy access and retrieval.
- Aid in the weekly processing and submission of timesheets in alignment with efficient payroll management.
- Take responsibility for record-keeping and management of provided office equipment, including rental and company-owned equipment.
- Review, disseminate, and file all relevant documents from Consultants and City Inspections throughout the project's lifecycle.
- Gather and organize all Project Close-Out documents, including Operation and Maintenance (O&M) Manuals and Warranty Documents, as required.
- Administer Site Orientations when necessary to ensure project safety and compliance.
- Assist site superintendents in scheduling deliveries and installation dates, contributing to project efficiency.
- Assist with the Contract and Purchase Order Management process, including creating and tracking Contract and Purchase Order Awards, managing Contract Control documents, and handling Contract Awards, Change Orders, and approval.
- Assist with the Contract Execution Tracking, including maintaining a Contract Execution Tracking Log to monitor and track the progress of contract execution.
- Support management in generating and issuing monthly reports and other necessary documentation.
- Collaborate as needed in the tendering process.
- Monitor Project Construction Schedules and Material Deliveries to identify and address potential delays or issues.
- Uphold quality control, integrity, and excellence in all project-related activities, promoting a commitment to delivering top-tier results.
- Support the economic and social well-being of the communities the company operates in, leading local and Indigenous procurement practices.
- Other tasks and duties as assigned. These duties may fall out of the scope as described to support the business in whatever capacity deemed required.
Knowledge/Experience Required:
- Bachelor's degree in business, or equivalent.
- Excellent written and verbal communication skills, as well as strong presentation and organizational skills
- Strong ability to organize and plan computer literacy, time management, project planning and project deliverables.
- Ability to multitask, in both capacities of handling multiple clients/jobs/projects and be able to carry out multiple tasks and scalability within each project.
- Must be a self starter and motivated working under minimal supervision.
- Working knowledge of MS Office and SAP
- The Calgary Office and project work sites
