Our client is looking to bring on a contract Project Administrator for a 9-month contract. This is a hybrid role, on-site 2-3 days per week in the downtown Toronto office. In this capacity the Project Administrator will support two technology executives through day-to-day administrative responsibilities, while providing support in the following areas:

Executive Support:

  • Provide comprehensive administrative support to two technology executives, including managing calendars, scheduling meetings, and handling correspondence.
  • Coordinate travel arrangements and prepare detailed itineraries.
  • Assist in preparing presentations, reports, and documents as needed.
  • Act as a liaison between executives and internal/external stakeholders.

Project Coordination:

  • Track project timelines, milestones, and deliverables to ensure projects stay on schedule.
  • Monitor project budgets, expenses, and resource allocations.
  • Prepare and issue Purchase Orders (POs) for project-related expenses.
  • Coordinate meetings and communications among project team members.
  • Generate regular progress reports and updates for stakeholders.

Resource Management:

  • Assist in resource allocation and tracking, including personnel, equipment, and materials.
  • Maintain and update project documentation and repositories.
  • Ensure documentation is organized, accessible, and up to date.
  • Assist in the development and maintenance of project templates and processes.

Requirements:

  • Bachelor's degree in information technology, Computer Science, or related field.
  • Proven experience (2+ years) as a project administrator, preferably in an IT environment.
  • Familiarity with project management methodologies and tools (e.g., Agile, Scrum, JIRA).
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Detail-oriented mindset with a focus on accuracy and quality.
  • Ability to work effectively both independently and as part of a team.
