The Office Manager is responsible for supporting the daily office operations and client reception. S/he will perform a variety of complex and confidential administrative support functions for the Castlemain Group executive team, including managing expenses, evaluating policies and procedures and managing confidential correspondence as well as streamlining administrative procedures as required.


The Office Manager has excellent communication and organizational skills and is well versed in organizational, as well as local office procedures and policies. In this role, the incumbent will actively discover new ways to perform his/her job more efficiently and effectively to allow the other operations of the organization to function properly. This role has a varied and complex workload and must balance reactive and proactive responsibilities to meet internal and external deadlines.

Responsibilities will include:

  • Manages and oversees implementation of administrative policies and procedures to ensure efficiency and effectiveness including all matters related to IT and corporate functions;
  • Provides ongoing administrative support to the Castlemain Group President, and supports the Executive Management team as needed;
  • Partners with teams across Believeco: Partners to optimize and streamline programs and processes;
  • Ensures the smooth and adequate flow of information within the company to facilitate other business operations;
  • Provides support for both internal and external events and corporate functions;
  • Works directly with vendors such as security, maintenance and office supplies to ensure smooth operation of organization;
  • Partners with the Believeco: Partners IT function to ensure management and maintenance of equipment, repairs, software, requests for purchase.
  • Partners with building maintenance / building management as required,
  • Assists to ensure office equipment is in good working order
  • Completes special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules and monitoring results; and
  • Provides historical reference by developing and utilizing filing and retrieving systems;

We're looking for someone with:

  • Post-secondary education;
  • Minimum of five (5) years work experience in an administrative role
  • Successful background check.
  • Well-honed interpersonal and communication skills will provide the sensitivity and relationship building skills required to work collaboratively with staff and affiliated organizations;
  • Strategic mindset balanced with operational proficiency;
  • Excellent communication skills, both written and verbal and successful track record in working with staff at all levels;
  • High level of critical and logical thinking, analysis, and reasoning skills to lead operational excellence;
  • Business minded to recommend solutions to the President/Executive Management team;
  • Proactive; demonstrates time management, planning, and organization skills with the ability to work on a wide range of issues simultaneously;
  • Excellent relationship-building skills: has the ability to influence without authority, develop consensus, and build rapport with a wide variety of people;
  • Brings clarity to grey areas, using a communication style adapted to internal customers;
  • Process-oriented with a 'hands-on' approach;
  • Ability to prioritize and effectively deliver on a complex portfolio of work meeting deadlines and budgets, while ensuring high quality work.
  • Effective attention to detail and a high degree of accuracy;
  • High level of integrity, confidentiality, and accountability;
  • A succinct and professional writing style;
  • Ability to work effectively both independently and with a team;
  • High degree of professionalism in representing the organization
  • Experience working with Indigenous communities, organizations and/or governments would be an asset;
  • Ability to prioritize and complete multiple assignments, meeting deadlines and budgets, while ensuring high quality work; and
  • Strong technical ability and experience with a range of software applications such as MS Office, particularly an intermediate working knowledge of Excel.
  • Demonstrate a passion for learning, both to improve your skill set as well as develop a better understanding of our clients and our company;
  • Demonstrate a willingness to roll up one's sleeves and employ a “can do” attitude across all tasks;
  • Establish a good working relationship with all Castlemain staff.

  • Believeco: Partners has a hybrid work model with the expectations that individuals attend their closest office if they are within a 45 km radius 3 days per week. If outside of this radius BCP encourages individuals to attend functions when possible to help drive connection to local colleagues and support a strong company culture.

Salary range: $50,000 - $65,000
