Job Overview
The role is responsible for managing sponsor and exhibitor relationships for in-person and online events. In addition, this role collaborates with departments such as Marketing and B2B & Partnerships to ensure sponsorship entitlements are fulfilled and communication is effectively maintained in these partnerships. This role also coordinates and oversees all trade show experiences involved on the show floor, including all stages, activations and partnered mini events.
Key Responsibilities
1. Coordinates the delivery and fulfillment of sponsorship entitlements with sponsors for in-person and online events.
Communicates with sponsors regarding sponsored education and presenters
Oversees the process of delivering sponsorship entitlements
Works with Magazine editor for ads and editorials
Sends pre - & post-event eblasts
Ensures sufficient Exhibitor Coupons availability
Ensures appropriate information display on the leaderboards
Issues discounts, promotion codes, complimentary passes and registrations for various events
2. Coordinates information sharing and event logistics with Trade Show exhibitors for in-person and online events.
Plans and shares regular communication with exhibitors
Creates and maintains the Exhibitor & Volunteer Hub
Initiates the planning for event set up (load in) and tear down (load out)
Supports onsite logistical needs for exhibitors
Serves as the direct contact and client services representative
3. Responsible for overall Trade Show Experience.
Coordination
Oversees onsite flow of all activations, mini-events and experiences on the trade show floor and stages
Setup
Ensures all signage, schedules, tables, chairs, and activation spaces (Meet & Greet and Photo Booth) are properly set up
Verifies the setup of all elements before the event begins
Prepares contingency plans for any last-minute changes or issues
Debriefing
Collaborates with the Trade Show Volunteer Team Leaders, volunteers and security team to review the Trade Show experience
Assesses crowd control strategies and security measures at high and low traffic times
Evaluates the content of narratives (e.g. scripts and guidelines) being communicated to the audience
Reviews the expectations and direction provided for emergencies and critical scenarios
4. Collaborates with internal stakeholders and departments to create seamless integrations and operations of the event experience.
Works closely with the B2B Sales Experience team to ensure sponsorship entitlements are managed and delivered
Supports email and social media marketing campaigns, including content and cadence, as well as Call Campaigns when needed
Works with Certification & Education Experiences Team to align event experience on the trade show stages

Education
Minimum Required: Post Secondary Education
Preferred: Focus on Event Planning, Project Management, or Communications and Partnership Management
Work Experience
1-3 years of relevant experience
Knowledge, Skills & Abilities
- Excellent verbal and written communication skills
- Strong time-management and organization skills
- Able to manage multiple projects
- Computer skills including Word, Excel, Outlook, and PowerPoint.
- Customer focused and able to work in a collaborative team environment
- Strong people skills and ability to deliver on objectives with a service minded approach
- Must be able to work in fast pace, changing environment
- Must be able to manage multiple tasks simultaneously
- Capable of producing a high volume of quality work, within tight timelines
- High problem-solving and critical thinking skills
- Ability to manage vendor and 3rd party relationships
- Experience and interest in the fitness industry is an asset
- Knowledge of ExpoCad is an asset
