JOB DESCRIPTION
Join our team as a Business Support Administrator, supporting both CFM and Hughes Surveys operations. In this key customer-facing role, you will provide a broad range of administrative, financial, safety, and operational support while serving as a trusted resource for employees, leaders, customers, and vendors. RESPONSIBILITIES
- Provide professional and responsive service as the first point of contact for visitors, employees, customers, and vendors at our office at 30 Thorne Avenue. Manage incoming calls, inquiries, and correspondence, directing requests to the appropriate teams.
- Lead end-to-end purchasing and financial support activities, including creating purchase orders, invoice processing, credit card reconciliations, work order administration, and departmental financial reporting.
- Customer billing administration including coordinating approvals, preparing purchase orders, maintaining payment records, and ensuring billing requirements are completed accurately.
- Coordinate weekly time entry and payroll adjustments, ensuring accurate and timely processing while maintaining confidentiality.
- Coordinate office administration activities, including document preparation, filing, and records management
- Shipping and receiving activities, courier coordination, inventory tracking, monthly inventory counts, and office supply replenishment.
- Arrange travel, including flights, accommodations, vehicle rentals, and expense report administration.
- Plan, coordinate, and provide administrative support for meetings, events, and team activities as required.

QUALIFICATIONS
- College Diploma or University degree in Office/Business Administration or a related field.
- 1-3 years of experience in an administrative role, with a preference for manufacturing or industrial settings.
- Excellent time management, organization, and prioritization skills, enabling effective multitasking.
- Superior communication and interpersonal skills, including the ability to build positive relationships with diverse stakeholders.
- Ability to work independently, take initiative, and make informed decisions.
- Strong attention to detail, ensuring accuracy and high-quality work.
- Proficiency in Microsoft Office suite, particularly Excel, for data management and reporting.
- Knowledge of basic accounting principles and payroll processes is advantageous.
- Adaptability to work in a fast-paced, dynamic environment, managing changing priorities and deadlines.
