JOB DESCRIPTION
The Human Resources Coordinator provides support to the Corporate Human Resources Team through coordinating and contributing to the delivery of Learning & Development, Process Management and Talent Management programming. The HR Coordinator is also responsible for providing a full range of administrative services for the Vice President Corporate Human Resources.
RESPONSIBILITIES
Coordination of activities for Corporate HR Programs:
- Producing / administration of live & virtual events
- Vendor/Facilitator support in coordinating activities and administrative items
- Support/facilitate assessments, surveys, and Teams site
- Scheduling of events and communications to internal and external partners including scheduling facilities, catering and materials.
- Building and maintaining budget and expense tracking
Coordination of HR materials, meetings and events, in addition to other activities determined as needed. May include but not limited to the creation of:
- Workbooks/activities
- Job aids and Work Instructions
- Process Maps
- Presentation Slide Decks
Support in the upkeep of various SharePoint Sites and Teams Channels:
- Ensure Learning & Development Information Sites and all Teams sites are kept up to date with clear communication around program details, events and posted training items.
- Coordinate with Specialist to align look and feel of Info site
Provide administrative services for the VP, Corporate HR:
- Maintaining an accurate, up to date calendar of meetings and commitments, responding to requests for meetings.
- Scheduling & Organizing meetings for the VP and department as requested.
- Planning and organizing travel arrangements; organizing, changing, rescheduling travel arrangements, both planned and unplanned, including air, hotels, car rentals and scheduling of meetings during trips.
- Management of receipts and submission of travel expenses
General Office Duties including but not limited to:
- Creating and receiving purchase orders
- Assist in approval and validation of invoices
- Ordering office supplies
- Arrange maintenance and service calls on printers
- Coordinating IT supplies/issues
- Preparing courier packages
QUALIFICATIONS
- Post-secondary education or equivalent in HR, business, industrial relations, or related field
- Minimum of 3 years of work experience required. Minimum of 1 year of work experience in Human Resources preferred
- HR certification (e.g., CHRP, SHRP, PHR, SPHR) would be an asset
- Experience managing small to medium projects and processes with limited oversight from supervisor.
- Customer focused with superior communication and interpersonal skills, including the ability to facilitate meetings with internal and external parties, in-person or virtually.
- Strong organizational skills demonstrating excellent attention to detail.
- Excellent time management and prioritization skills to manage several applicants while anticipating shifts in priorities.
- SharePoint knowledge is considered an asset
- Successful completion of post-secondary education is considered an asset.
- Strong Microsoft office skills including excel, PowerPoint and word
- Fluency in English is a requirement of this role. Ability to speak French and/or other languages considered an asset.
