JOB OVERVIEW: CONFIDENTIAL ASSISTANT – HUMAN RESOURCES

This position reports to the Manager, HR Business Partnerships and works closely with other key parties. The Confidential Assistant performs complex and confidential administrative functions, with a service delivery focus, in support of the HR Business Partner and People Relations team. Responsibilities include contributing to the design and implementation of related work processes, maintaining the integrity of systems, preparing a variety of documents and providing information and guidance to users of human resource services including providing information on forms, policies, procedures and services.

This position performs a wide variety of administrative support services, ranging from complex to routine, all of which contribute to the efficient and professional operation of the People Relations team. Using a genuine appreciation and understanding of protocol, discretion, confidentiality, diplomacy, and professionalism, the incumbent interprets and makes decisions in accordance with prescribed procedures and practices of the University.

The Confidential Assistant deals with senior administrators and other members of the KPU community. This interaction often involves matters of a confidential and highly sensitive nature. The Confidential Assistant must have well-developed time management skills, diplomacy, discretion, and initiative.

EDUCATION AND EXPERIENCE

Completion of a recognized post-secondary diploma (two years) in a field such as human resource management or office administration, or an equivalent combination of education, training and experience. Three years of recent relevant experience, with progressively increasing levels of responsibility. Experience working in a related position within Human Resources is considered an asset. Or an equivalent combination of education, training and experience.

Display a high degree of maturity, integrity, loyalty, creativity and strict confidentiality. Demonstrated proficiency with Microsoft Office applications and web content management systems, such as Drupal, and SharePoint. Demonstrated ability to take initiative and adapt to changes in organizational priorities. Excellent project management, organizational skills and the ability to manage own workload as well as assist others in meeting deadlines. Excellent oral and written communication and interpersonal skills including the ability to use tact and diplomacy when interacting and communicating with others at all levels of the organization. Ability to establish and maintain cooperative working relationships with management, staff and both internal and external stakeholders. Demonstrated tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature. Ability to work independently and effectively as a member of a team.

Salary Information

The compensation range is the span between the minimum and maximum base salary (as listed above) for a position. Approximately halfway between the minimum and the maximum represents an employee that possesses full job knowledge, qualifications and experience for the position. In the normal course, employees will be hired, transferred or promoted between the minimum and approximately halfway of the salary range for a job. Annual salary increases are available through participation in the Administrative Performance Management program
