Taggart Realty Management Part of the Taggart Group of Companies, Taggart Realty Management focuses on acquiring, developing and managing residential, office and commercial property. Taggart Realty Management has a consistently large number of new projects being developed at one time, each at varying stages of the construction process. The projects are focused on the Ottawa and Kingston marketplaces. Work Description: The projects and facilities Coordinator is responsible for supporting various Taggart Realty Management assets in a hands-on, proactive and reactive manner. The projects and facilities Coordinator will support the Facilities and Asset Management teams with various capital projects, administrative projects, liaising with stakeholders & contractors, coordinating services and maintaining / ensuring project records / data basis are maintained current with up-to-date information. Main Responsibilities: Assisting the Facilities team in project managing various Capital Projects Supporting the project needs by communicating with Contractors, Consultants, service providers and at times tenants. Assisting the Facilities team with administrative functions and processes Supporting the development of proposal and project documents throughout their lifecycle, including documentation set-up, final formatting, and electronic compilation Assisting / Supporting Facilities Team throughout a Capital Project from Conceptualization to Tendering / Award to Implementation to Completion. Coordinating data management and information transfer by attending meetings, documenting processes, and liaising with staff, contractors and stakeholders Preparing project invoices for sub-consultants, contractors, and vendors Supporting project logistics by booking meetings and meeting rooms, resolving scheduling conflicts, and following through with stakeholder deliverables Assisting with the maintenance of major maintenance projects Apply for and procure necessary permits. Assisting in gathering information, and preparation of the departments' Capital Improvement Program (CIP) budget Maintaining project budgets by developing cost estimates for projects, tracking data, and flagging issues and trends to the Facilities team All other duties as required. Statement of Qualifications - Knowledge, Skills and Abilities: ~ A high school diploma is required. Post-secondary education in business administration and/or Project Management is considered an asset. ~1-2 years of related experience in an office management, facilities-related, project management or similar role. ~ An understanding of project objectives, technical scopes and commercial building codes / applications considered an asset. ~ Ability to work independently, make decisions and trouble-shoot. ~ Ability to maintain focus despite frequent interruptions and high-volume of work. ~ Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities. ~ Capable of handling pressure and challenges in a dynamic business environment ~ Ability to manage and foster relationships with suppliers, vendors, service providers and internal as well as external clients. ~ Excellent attention to detail and organizational skills. ~ Strong ability to prioritize various tasks and projects. ~ Strong knowledge of Microsoft Office suite is required; knowledge of office management software would be considered an asset. ~ Experience dealing with service vendor agreements would be considered an asset. Physical/Sensory Effort/Work Environment: Busy, and at times, a loud work environment. Working under simultaneous deadlines. Sitting or standing for long periods of time at a workstation.
