POSITION: Office Manager / Contracts Administrator
Responsible for coordinating office operations, procedures & resources to facilitate operational effectiveness and efficiency.
Office Manager Duties include:
- assign and monitor clerical, administrative and reception responsibilities and tasks among office staff
- allocate available resources to enable successful task performance
- co-ordinate office staff activities, including A/P, A/R, Collections and Payroll, to ensure maximum efficiency
- evaluate & manage staff performance, internal staff relations, coach, mentor and discipline office staff
- recruit and select office staff, orientation and training of new personnel
- backup & support for A/P and A/R and Payroll
- design, implement and oversee adherence to office policies and procedures
- implement procedural and policy changes to improve operational efficiency
- liaise with Information Technology support and oversee implementation, maintenance and distribution of Information Technology requirements and resources
- handle customer inquiries and complaints
- maintain a safe and secure working environment
Contracts Admin Duties include:
· assist with preparation of tender documents and ensure timely submissions
· assist with contract document preparation and submission
- maintain contract / project files
- follow up with clients on outstanding contract payments, collections duties
- reconcile subcontractor invoices and authorize payments
Education and Experience
· business administration or related degree or diploma, equivalencies will be considered
· 5 years administrative and supervisory experience
· knowledge of accounting, data and administrative management practices and procedures
· knowledge of human resources management practices and procedures
· knowledge of business and management principles
· proficient with Microsoft Office 365 Word, Excel and accounting software such as Sage 50 or Jonas
· excellent communication, coaching, teamwork and collaboration skills
· problem analysis and assessment and decision making
· excellent planning, organizing skills and work and time management
· attention to detail and high level of accuracy
· delegation of authority and responsibility
· information gathering and monitoring
Salary range $83,000 - $125,000 DOE, 3 Weeks Vacation, Fuel Allowance, Company Matching Group RRSP, Health/Dental and Disability Benefits Package available - after 3 month probationary period. Hours of work 8:00am to 5:00pm Monday - Friday (some weekend & overtime will be required, some travel may be required). Please submit resumes to [email protected].
