Centralized Accounts Payable Clerk -The Westin Nova Scotian
Position Summary: The main function of the Accounts Payable position is to compile and maintain Account Payable records.
Accountabilities: The Accounts Payable position is responsible for processing all invoices and authorizing check payments to the hotel vendors in accordance with hotel standards. To reconcile daily statements and month end balancing of payables.
- At least 3 years of progressive experience in a hotel or a related field required.
- College degree in Accounting or Finance preferred
- Long hours are sometimes required.
- Must have experince processing invoices.
- Must have computer experience, preferably in accounting.
- Must be effective in handling problems in the workplace, including anticipating, preventing, identifying and solving problems as necessary.
- Must be able to work with and understand financial information and data, and basic arithmetic functions.
- Must be able to communicate effectively with suppliers and internal guests, employing consideration of their needs, fiscal restraints and follow-up.
- Experience dealing with cash.
Duties & Functions
- Approach all encounters with guests and employees in a friendly, service oriented manner
- Maintain regular attendance, as required by scheduling which will vary according to the needs of the hotel
- Maintain high standards of personal appearance and grooming, as defined in the hotel handbook, when working
- Comply at all times with New Castle standards and regulations to encourage safe and efficient hotel operations
- Monitor the Accounts Payable processes to ensure adherence to the established procedures
- Prepare account reconciliations
- Review all invoices for appropriate documentation and approval prior to payment
- Print and obtain signatures on all accounts payable checks
- Distribute signed checks as required
- Maintains all accounts payable reports, spreadsheets and accounts payable files
- Assists in monthly closing
- Prepares analysis of accounts as required
- Properly files and copes all necessary documents
- Check and respond to electronic communications in a timely fashion
- Keep immediate supervisors fully informed of all challenges or matters requiring his/her attention
