What would my main duties be?
Key Projects/ Global Event C oordinator prioritiesfortheco-opareexpected toinclude,but not limited to:
1. Global Event Support, Coordination , Task M anagement
- Support and assist team with event and project coordination,administrative, andlogistic duties for key event s in FY2 5 calendar (sponsored & proprietary) , data management, r eporting , and e nablement .
- Coordination and follow-up of cross-functional (internal and external) project tasks and actions
- Event support wouldinclude thingslikemanaging theFusion and D2LExperience email i nboxes, even t briefs, coordination of POs, invoices, contracts, event data/lists , presenter prep and travel support , event system admin support ,reporting and KPI t racking ,assistingwithplanning/set-uplogistics for events activities , review , maintenance, andtesting event tools and platforms and related event tech,day-of event coordination and support, and post-event follow-up, etc.
2. Event Communications and Calendar Coordination
- Aidcross-functionalevent communicationsand global event calendar upkeep and cross-functional alignment
- Maintain eventschedule and event communicationsschedule and event performance tracking
- Coordinate updates/changes and related communications with cross-functional communications leads
- Help to provide awareness and alignment of events and related activities with other internal/external stakeholders
3. Event Data Management and ROI Reporting
- Post-event survey review and reporting
- R eporting and tracking of key event KPIs, management and upkeep of event reporting data/dashboards
- Lead scan list scrubbing and reconciliation and coordination of uploads with appropriate teams
- Coordination and follow-up on learnings, highlights, post-event content, reconciliations, etc.
- Coordination and tracking support for key event invoice s , contract s , and spend information
4. Vendor , Venue , Tech, and Speaker Researchand Sourcing
- Assist in in-person event venue sourcing and research for Fusion venue RF P, proprietary events, and VIP reception event locations
- Researchunique swag , event in a box, and booth/exhibit vendorsoptionsand solutionsbased on goals provided
- Research and connect with client-facing teams and SMEs to source speakers and presentations for events
- Research event app/marketing tech event solutions based on goals provided
- Oncevendors /venues /tech/speakers identified , create a grid comparing the specific offerings and make recommendations on which would suggest proceeding with
- Coordinate sourcing and inventory monitoring of swag /giveaways/ assets as needed to support our self-service event asset portal and various events .
5. Collateral Review and Copywriting
- Eventpromotion and follow-up, enablementassetcreation support and task and vendor coordination
- Copywriting support and coordination of content needed for website pages, email campaigns,social and other digital event promotion, enablementtoolkits, and other internal and external event and/or communicationsand digital assets
- Coordinate proper proofread and review s of communication/copywriting
- Coordinatethecreation, updating, anddeploymentof information updates,graphics,andsupportingdigital and printassets with appropriate internal groups and external vendors
6. Competitive Event and Customer Experience Research
- Visit the websites of key competitorsand top events and customer marketing touchpoints and experiences both in and outside of ourindustry
- Take specific actions including visiting landing pages, registering and attending virtual events, requesting additional information, assets, etc. (specifics to be provided)
- Capture communications and advertising presented, what experiences they are providingto their customers , how their web pages and events are structured, what tools they are using, assets they provide, how they continue engagement throughout customer journey, awards and reviews they 've received , etc.
Who are we looking for?
- Starstudent enrolled in marketing, communications, event management, or projectmanagementprogram with the following competencies:
- Advancedcommunication, collaboration, and interpersonalskills
- Excellent communication writing and/or copywriting skills
- Exceptional organizational skillsincluding multi-tasking and time management
- High attentiontodetail
- Ability tolearn quickly,thinkfastunder pressure, and work independently in fast-paced environment
- ProficiencywithMSExcel and comfortablewithlearningnew systems quickly
- Creative mindset and stamina to try new things and figure out how to continuously improve
- Experience with planning or coordinating cross-functional events, cross-functional projects,and/or communication writingwould be an asset
The expected weekly salary range for a student hire in this role is listed below. The base salary offered is determined by each candidate's relevant knowledge, skills, education, training and experience. It is aligned to ensure both internal and external competitiveness using market data for the geographic location and school specific salary surveys.
Weekly Salary Range
$710 — $900 CAD
