Position : Full-time Receptionist
Primary Work Location : Windsor Heritage Catholic Family of Parishes – Main Office, 350 Huron Church Rd. Windsor
Hours of work: 35 hours per week 8:30AM to 12PM and 1PM to 4:30PM Monday to Friday.
Compensation : Salary is in accordance with DOL personnel policies. This position is eligible for participation in the lay staff benefits and defined contribution pension programs.

POSITION SUMMARY :
Reporting to the Pastor or his designate. The Receptionist will be the primary point of contact for parishioners and others when contacting the three parishes and two ecclesial communities of the Windsor Heritage Catholic Family of Parishes.

SUMMARY OF DUTIES:

  • Greet and assist visitors at the Family of Parishes office.
  • Provide face to face, email and/or telephone reception for parishioners, vendors, contractors and visitors to the parish.
  • Provide administrative support for the parish.
  • Administrative support duties include, but are not limited to:
  • Organize, communicate, prepare agendas, record minutes, and follow up on action items as required for meetings and/or events of the Family of Parishes (FOP).
  • Maintain accurate records and files.
  • Attend to appointments, phone messages, travel arrangements and meetings schedule for the Pastor and Clergy.
  • Manage and update parish calendar, room bookings, mass intentions.
  • Manage correspondence, mail, reports, and expenses.
  • Interact and assist where possible with other groups in supporting the strategy of the Diocese and Family of Parishes.
  • Provide information and direction to callers or visitors.
  • Receive requests for records and refer to the Records Secretary.
  • Receive requests for funerals, obtain basic contact information and send to the appropriate clergy, staff, or volunteer.
  • Receive requests for sacraments including baptism, reconciliation, communion, confirmation, marriage, and sacrament of the anointing of the sick, obtain basic contact information on intake form and send to the appropriate clergy, staff or volunteer.
  • Send/receive parcels and mail and direct to appropriate staff.
  • Monitor voicemail, email, and facsimile communications for the FOP.
  • Assist with copying etc.
  • Keep the reception area neat and tidy.
  • Receive and record mass intentions and associated fees. Provide lists of intentions for each mass at each parish and related financial information to designated staff.
  • Order and distribute Ordos, missals, Papal blessings etc.
  • Monitor hall rentals including ensuring forms are completed, insurance obtained, fees received etc.
  • Liaise with City of Windsor for parking at St. Alphonsus
  • Ensure the posting of bulletins, posters and schedules.
  • Other duties of a similar nature as assigned.

QUALIFICATIONS AND REQUIREMENTS :

  • College diploma in office administration or a related and applicable field of study.
  • Minimum of 1 year of direct experience working in a professional office environment.
  • Fluency in spoken and written Italian is an asset.
  • Ability to maintain strict confidentiality of highly sensitive materials.
  • Proficient in Office 365 including Microsoft Word, Excel, Sharepoint, and PowerPoint.
  • Experience with the Diocesan Data Management System (DDMS) is an asset. Training is available.
  • Excellent interpersonal, organizational, and written and verbal communication skills.
  • Collaborative, supportive, flexible team player with a high degree of initiative.
  • Resourceful self-starter with a thorough attention to detail along with a strong desire and ability to produce quality projects and results.
  • Friendly, hospitable, and professional representative adept at customer relations who will professionally represent the Windsor Heritage Catholic Family of Parishes and the Diocese of London at all times.
  • An understanding of and desire to support and promote the mission of the Diocese of London and the pastoral plan of the Windsor Heritage Catholic Family of Parishes.
