Our client in the luxury lighting industry is seeking a highly organized and proactive Executive Assistant to support their president/ CEO in managing their day-to-day activities and ensuring the smooth operation of their office. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced environment.

Job Type: Full time permanent posiiton ( fully in person)

Hours: Mon-Fri 8:30am-5:00pm

Responsibilities
-Manage and maintain the executive's calendar, including scheduling appointments, meetings, and travel arrangements.
-Screen and prioritize incoming calls, emails, and correspondence.
-Prepare and edit correspondence, presentations, reports, and other documents.
-Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items.
-Conduct research and compile data as needed for various projects and initiatives.
-Assist with special projects and events as assigned.
-Handle confidential information with discretion and professionalism.
-Act as a liaison between the executive and internal/external stakeholders.
-Anticipate the needs of the executive and proactively address issues as they arise.

Qualifications

-5 years minimum experience as an executive assistant or similar role.
-Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
-Excellent organizational and time management skills.
-Strong attention to detail and accuracy.
-Exceptional written and verbal communication skills.
-Ability to multitask and prioritize tasks effectively.
-Discretion and confidentiality in handling sensitive information.
-Flexibility and adaptability to changing priorities and deadlines.
-Experience with project management is considered an ASSET.
-Ability to work independently with minimal supervision.
-Professional demeanor and strong interpersonal skills.
-Assist with both personal and business errands occasionaly
