This Opportunity


The Vancouver office of Smith + Andersen is currently seeking a Proposal Coordinator to create winning proposal submissions. The Proposal Coordinator role plays an integral role in the preparation of client proposals and will support the team with securing new and continued business. You are an eager individual with strong communication and interpersonal skills to help execute proposals for new and existing clients. You possess strong multi-tasking and time management abilities to keep up in a fast-paced environment. The successful candidate, in conjunction with the proposal team, will help compile key experience data, success stories, executive summaries and project descriptions summaries.

What You'll Do:

  • Responsible for reviewing and interpreting RFP and RFQ documents and determining requirements for successful proposal submission. Liaise with client contact regarding proposal deliverables.
  • Conduct research, collect information, and attend meetings (as required) for each proposal.
  • Write, proofread, edit and format proposal content which may include adapting existing content, boilerplates (in consultation with proposal manager) to ensure a cohesive proposal. Ensure each proposal submission is submitted within the established deadline.
  • Collaborate with leaders for technical content that showcases company experience. Organize all technical written content supplied by leaders. Solicit feedback on proposal content and where required revise proposal descriptions.
  • Review proposal drafts for consistency, clarity and appropriateness of the content and ensure final document is free of typos, grammatical and spelling mistakes.
  • Collaborate with Marketing and Communications team for graphics/visuals for proposal submissions.
  • Collaborate with the team to offer suggestions to improve department procedures and processes.
  • Assist with other proposal related duties as assigned.

Who You Are:

  • Minimum 2 years of experience within an engineering, construction or architectural firm or similar role.
  • A post-secondary degree or diploma or equivalent industry experience.
  • Strong verbal communication, active listening skills and interpersonal skills.
  • Excellent written communication skills along with editing and proofreading skills.
  • Solid multi-tasking skills, time management and organizational skills
  • Proficiency with Microsoft office.
  • Proficiency with Adobe Creative Cloud applications.
