Our mission at OFFA is to coordinate, promote and support to the development of programs and courses offered in French at Simon Fraser University (SFU). We also organize cultural and scientific activities within the community to foster a plural and inclusive Francophonie. About the Role

The Administrative Assistant plays a key role in the OFFA team, particularly with the management team. Through his/her versatility, he/she provides administrative and financial support essential to the smooth running of day-to-day operations, such as processing invoices and data, ordering supplies, drafting reports and keeping administrative and financial records. The incumbent provides reception services to the OFFA department and is the first point of contact for clients who reach out by telephone, e-mail or in person. The role ensures the proper use and upkeep of the student lounge and office spaces by clients, students, partners and employees. Finally, Administrative Assistant supports and participates in the organization of events and activities on and off campus.

The ideal candidate is bilingual (French/English) and takes French language and cultures to heart. They have exceptional customer services skills and a willingness to go above and beyond to assist clients, students and OFFA team. They effectively manage their time in order to organize, prioritize and complete multiple tasks without compromising quality, accuracy and confidentiality. They are comfortable with frequent interruptions and have a demonstrated ability to switch between focused work and assisting clients and colleagues as needed. They have excellent financial literacy, enabling them to handle tasks involving financial transactions with accuracy. In a hybrid work environment, they can work independently and in isolation.

High school diploma and two years of post-secondary education or formal certificate/diploma equivalent that includes French language studies.

  • Demonstrated full proficiency in both French and English.
  • Demonstrated ability to effectively use standard office applications (e.g., e-mail, Word processing, Excel spreadsheet, database, Onedrive and Teams software) at intermediate level. Experience with accounting software is an asset.
  • Excellent customer service, interpersonal and verbal communication skills.
  • Excellent analytical, problem-solving and attention to detail skills.
  • Ability to organize and multitask with frequent interruptions.
  • Demonstrated ability to work independently and/or in isolation.
