Job Title: Operations and Compliance Specialist (60% Montreal / 40% Rest of Canada)
Location: Based in Montreal with national coordination responsibilities

About the Role

We are looking for a detail-oriented Operations and Compliance Specialist to play a critical behind-the-scenes role in our operational success across Canada. This role is focused on internal coordination and ensures that seasonal services run smoothly, safely, and in compliance with internal protocols. The ideal candidate is a strong communicator, highly organized, and confident navigating across departments like HR, sales, finance, and operations.

Key Responsibilities

Process Compliance & Execution (60%)

  • Ensure distribution and adherence to operational processes and safety protocols nationwide
  • Conduct audits to verify compliance and flag issues to leadership
  • Manage seasonal readiness checklists and transitions (start/end of season)
  • Document and communicate procedural changes, training staff as needed
  • Act as liaison across departments to ensure proper hand-offs and rollouts
  • Assist in generating job performance and customer feedback reports
  • Monitor administrative compliance: permits, certifications, timesheets, equipment records
  • Maintain organized digital and physical records

Reporting & Documentation (15%)

  • Maintain accurate logs and records related to compliance, readiness, and performance
  • Assist with internal reporting for senior leadership
  • Support consistent documentation and standardization of operational processes

Proposal Prep Support for Account Managers (15%)

  • Prepare and organize service contracts, estimates, site maps, and scope documents
  • Finalize client-ready documents and maintain updated records in CRM (Dynamics/Aspire)
  • Ensure assigned crews meet licensing and training requirements for assigned sites

Training, Licensing & Security Clearance Tracking (10%)

  • Maintain a master log of employee certifications and licenses
  • Track expirations and coordinate timely renewals with supervisors
  • Ensure compliance with mandatory safety training (with proper documentation)
  • Coordinate background checks and security clearances with HR for sensitive contracts
  • Identify training gaps and support workforce readiness

Qualifications

  • 5 years of experience in operations, coordination or compliance roles
  • Experience with CRM systems (Microsoft Dynamics, Aspire) preferred
  • Strong organizational and multitasking skills
  • Excellent communication and cross-functional collaboration skills
  • Bilingual English/French
  • Proficient with Microsoft Office Suite and document management systems
  • Background in facilities, construction, snow/landscape, or similar industries is an asset
  • Availability to travel within Canada (occasionally)
