Project Coordinator - HVAC/Mechanical Sector

Lock Search Group has partnered with a national leader, distributor and manufacturer within the Mechanical segment to bring on a Project Coordinator in Kelowna, BC to join their Okanagan Team. The incoming Project Coordinator will be tasked with coordinating with internal departments and external partners, and directing subject matter experts, support functions, and third-party partners to execute customer projects and achieve project targets. Handle submittals, customer orders, and discrepancies. Support quotes, track deliveries, and update customers. Resolve issues with missing or damaged items, close projects with proper documentation, and ensure customer satisfaction.
Responsibilities:
- Prepare submittals with the support of a Project Manager.
- Assist in technical submittals under the guidance of the sales team.
- Process customer orders from the approved submittals.
- Manage and process change orders and site instructions, including pricing updates.
- Coordinate with customers or site contacts to resolve order discrepancies .
- Address any issues such as missing, incorrect, or damaged items, and handle claims as needed.
- Track orders and deliveries, providing regular updates to customers.
- Inform customers of order arrivals and arrange delivery as necessary.
- Complete project closures by ensuring all invoicing and maintenance documentation are submitted.
- Prepare quotes for jobs not listed on bid boards, including those requested via email.
- Input quotes into system with accurate product code associations.
- Deliver exceptional customer service, prioritizing customer satisfaction.
- Engage in self-education and attend manufacturer's factory/training sessions to stay updated on product advancements and software tools.
Requirements:
- Post Secondary would be an asset but not necessary
- 3+ years of relevant experience in Project Coordination and/or Project Administration is essential.
- Mechanically inclined, or mechanical aptitude
- Strong verbal and written communication abilities.
- Self-motivated, creative, and resourceful.
- Bring positivity, energy, and enthusiasm to the workplace.
- Maintain a professional demeanor in all business interactions.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Capable of multitasking, prioritizing tasks, and managing time efficiently.
- Ability to support demand and problem solve in a fast-paced environment
- Excellent time and organizational skills - ability to juggle multiple 'to do list' items
- Valid BC Drivers license
