Job Title: Senior Coordinator / SharePoint Administrator
Location: Downtown Toronto 2x/week

Overview:
We are seeking a Senior Coordinator / SharePoint Administrator to provide high-level administrative and operational support to our leadership team. This role is ideal for someone who is highly organized, detail-oriented, and experienced in managing recurring operational cycles, coordinating meetings, maintaining issue logs, and administering SharePoint sites. You will play a key role in ensuring the smooth execution of monthly processes and supporting the broader infrastructure and project teams.
Key Responsibilities:
Administrative & Coordination Support:
- Manage and track the monthly cycle of recurring tasks and deliverables.
- Schedule, coordinate, and document meetings across multiple stakeholder groups.
- Prepare agendas, take detailed meeting minutes, and ensure timely distribution and follow-up.
- Maintain and update issue logs, ensuring accurate tracking and resolution of outstanding items.
- Provide day-to-day administrative support to leadership, including calendar management and task tracking.
SharePoint Site Administration:
- Maintain and update SharePoint sites used for collaboration, documentation, and records management.
- Ensure content is well-organized, accessible, and linked to the appropriate security groups.
- Support the development of new pages and site enhancements to improve usability and visual appeal.
- Act as the point of contact for SharePoint-related questions and troubleshooting.
Operational Oversight:
- Support the execution of monthly control checks and reporting activities.
- Collaborate with technical and business teams to ensure alignment on deliverables and timelines.
- Help enforce governance and consistency across documentation and SharePoint usage.
Required Skills & Qualifications:
- 5+ years of experience in a coordination, administrative, or project support role.
- Strong experience managing calendars, meetings, and documentation in a fast-paced environment.
- Proficiency in SharePoint administration, including site maintenance, permissions, and content organization.
- Excellent written and verbal communication skills.
- Highly organized with strong attention to detail and follow-through.
- Comfortable working independently and managing multiple priorities.
Preferred Skills:
- Experience supporting infrastructure or IT project teams.
- Familiarity with Microsoft 365 tools (Teams, Outlook, OneDrive, Power Automate).
- Basic knowledge of SharePoint page design and customization (modern web parts, layout tools).
- Understanding of issue tracking and reporting processes.
