About the Role:

As a Lease Administrator, you'll play a key role in managing the lease lifecycle for over 300 locations across our network. From reviewing rental documentation and ensuring lease compliance, to coordinating with landlords and supporting legal processes, this role is critical to maintaining strong landlord relationships and operational accuracy. You'll thrive in a fast-paced environment where attention to detail, organization, and initiative are essential.

Key Responsibilities

  • Review and approve Rental Advice Notices for over 300 locations and ensure that terms of lease agreement are met
  • Review and approve Year End Reconciliations for over 300 locations and ensure that terms of lease agreement are met
  • Review and approve Opening Rental Advice Notices for new locations (roughly 5 per month) and ensure that terms of lease agreement are met
  • Reconcile outstanding accounts relating to rentals
  • Ensure the Lease terms are being followed by Landlord (i.e. Admin fees, capped amounts etc., Deposits)
  • Tasks related to legal agreements or account review required by the President or VP of Legal
  • Review and revise the Landlord's estoppel certificates
  • Draft statutory declarations
  • Review and revise pylon sign agreements
  • Communication with Landlords and franchisees regarding various Lease matters
  • Submit Tenant Improvement Allowance requests and track the status of all tenant allowance payments
  • Assistance with new franchisee onboarding tasks, utility account set-ups and coordination with insurance brokers for placement of liability and property coverage
  • Administer security deposits and advance rent and ensure deposit requests are calculated and sent to the accounting department in a timely manner
  • Update internal CRM with new executed Leases
  • Preliminary review of the Leases as required by VP of Legal

Required Skills and Qualifications

  • College or university degree is required
  • 3+ years' experience with a commercial retail tenant
  • Proficient using Excel at a high level
  • Previous working knowledge of
  • Must be able to work in a fast-paced environment with minimum daily oversight
  • Must be self-motivated
