Job Title: Digitization Transformation Specialist (Intermediate)

Role Overview:
The Region of Peel is seeking a Digitization Transformation Specialist to support the implementation of its Digitization-as-a-Service (DaaS) program. The successful candidate will lead the design and execution of digitization frameworks to transition the organization's paper-based records into electronic formats. This role is pivotal to enabling digital transformation and achieving sustainability goals through paper reduction and optimized digital workflows.
Key Responsibilities:
Program Implementation:
- Develop and implement intake processes including:
- Intake forms
- Service tracking mechanisms
- Service request reporting systems
- Design digitization workflows for:
- Small and medium volume batches
- Large volume batch coordination
- Support the launch and operations of the dedicated DaaS Program Office
DaaS Program Objectives:
- Offer centralized scan-on-demand services across departments
- Promote eco-friendly and standardized digitization practices
- Manage internal resources and external vendor partnerships
- Drive cultural change toward digital-first operations
- Contribute to the Region's paperless and green initiatives
Project Stages & Deliverables:
Stage 1: Establish Program Foundations
- Initiate RFP for scanning 1100 boxes of content
- Design and launch the DaaS Program Office
- Create and implement quality control and intake procedures
- Establish cost structure in collaboration with Finance
Stage 2: Launch Small & Medium Services
- Establish SLAs with two internal partners
- Design DIY scanning process using Multi-Function Devices (MFDs)
Stage 3: Full-Scale Deployment
- Finalize procurement for external vendors
- Roll out digitization services to all departments
- Implement centralized monitoring and reporting systems
- Refine processes based on feedback for long-term sustainability
Required Qualifications & Experience:
- Education: Degree or diploma in Computer Science, Information Management, Business, or related field (certificate required)
- Certifications (Mandatory):
- AIIM Enterprise Content Management Practitioner or higher (certificate required)
- Lean Six Sigma Green Belt or higher (certificate required)
- PROSCI Change Management Certificate (certificate required)
- AIIM Membership: Must provide proof of good standing via one or more of the following:
- Membership card or active status screenshot
- Course completions with AIIM
- Mentorship/coaching experience in Intelligent Information Management
- Volunteer work or speaking engagements with AIIM
Technical & Professional Skills:
- Strong verbal and written communication skills
- Proven analytical and problem-solving skills
- Exceptional customer service orientation
- Proficiency in Microsoft 365 tools, especially:
- Power Automate
- Power Apps
- SharePoint
- Experience implementing document digitization strategies using information management best practices
