The ideal candidate has a minimum of 5 years' experience supporting a senior executive or executive team, with strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
A healthy salary range of $57,500 - $75,000, solid benefits and an attractive company matching RRSP program rewards the right candidate in this role contributing to our high-performing, dynamic team.
Employment Type: Full Time (Monday to Friday)
Hours of work: 37.5 (Flexible between 7:30am and 5:00pm)
Work Location: Onsite, Canada Masonry Centre. 360 Superior Blvd., Mississauga, ON
Travel: To some meetings and events to provide onsite support (avg 4 nights per month)

The Canada Masonry Centre (CMC) is the Umbrella Corporation and administrative facility housing eight not for profit associations.
As Canada's nationwide organization for masonry contractors, everything we do is geared towards keeping the industry vital, relevant and educated, supporting our contractor, supplier and professional members across the country to do the great work building Canadian communities that they do.
The CMC office is in Mississauga with 8 10 full time employees. There are also 5 satellite offices across Canada with an engineer in each to support our national technical services program.
To enjoy, succeed and thrive in this role, you are someone who:
- Possesses a post-secondary certificate or diploma in business administration/office management or related field, with senior admin experience or an effective and equivalent combination of education, training and experience.
- Is a Tech-savvy pro in Microsoft Office Suite (Word, Excel, PowerPoint & Outlook). with bonus points for knowledge and experience with ACCPAC and/or website design
- Takes initiative and works independently under minimal supervision.
- Leads and implements change to improve administrative processes and procedures.
- Possesses strong written communication skills to draft, proofread and edit various correspondence, with strong attention to detail.
- Communicates well, using strong interpersonal skills to foster positive connections and collaborate effectively with a team of internal and external stakeholders.
- Practices discretion, professionalism and political acumen when dealing with confidential information and issues.
- Enjoys putting strong organizational and time management skills to work, prioritizing tasks to manage multiple deadlines.
- Can be flexible and adaptable to changing priorities and requirements in a fast-paced environment.
- Possesses the drive and motivation to achieve results that reflect high standards of quality and excellence.
Your time contributing to our high-performing, dynamic team will involve the following responsibilities:
Membership
- Work with the senior team to distribute associations' communications through various platforms to inform membership.
- Develop and oversee conference and meeting websites for the associations.
- Update and monitor membership database.
- Manage membership application process.
Events
- Prepare, schedule, and coordinate meetings and events such as AGM's, leadership team meetings, offsite Board meetings, awards events, among others.
- Plan and execute all aspects of corporate events/meetings, ensuring all attendees, venue, catering, A/V, entertainment/décor (where applicable) and logistics are managed seamlessly.
- Manage large events such as the Ontario Masonry Design Awards and the CMCA National Conferences.
- Develop event/meeting timelines and ensure all tasks are completed within deadlines.
- Market events through various channels to attract attendance from target audiences.
- Manage event budgets and negotiate contracts with vendors.
- Oversee event staff and volunteers to ensure smooth operations during events.
- Provide exceptional customer service to members and attendees, professionally handling any issues or emergencies that may arise during events.
- Conduct post-event evaluations to gather feedback and identify areas for improvement.
Executive Support
- Provide a full range of confidential administrative services for the Executive Director ensuring quality service and professionalism.
- Prepare agendas, distribute materials, take minutes, and document action items at leadership team meetings, strategic sessions, and applicable boards the leader is involved in.
- Prepare reports, presentations, communications, and documents relating to matters of sensitive nature on behalf of the Executive Director by identifying required information, conducting research, and utilizing appropriate sources as required.
- Manage and coordinate calendar for the Executive Director.
- Monitor labour relation communication and assist the Executive Director with hearing dates, correspondence and filing documents.
