Position Summary

We are seeking a highly organized and detail-oriented HR Administrator to support the core administrative functions of our Human Resources team. This role is focused on onboarding, benefits and RRSP administration, HR system updates, documentation management, and general process coordination. The ideal candidate excels in a support-based role, maintains strict confidentiality, and thrives in a detail-driven environment.

Note: This is not a recruitment role. This position is dedicated to HR operations, employee lifecycle administration, and back-end support.

Location: Grimsby, Ontario (Hybrid/Multi-site Support), We are actively recruiting for an open role within our organization.

Position Functions

Onboarding & Employee Setup

  • Prepare and issue job offers, employment contracts, and new hire packages via DocuSign.
  • Coordinate references, IT setup, badge creation, and orientation logistics.
  • Enter employee details into Dayforce including personal, banking, and employment information.
  • Add new hires to internal systems: email groups, phone list, and employee communication platforms.
  • Maintain accurate employee files in Google Drive and ensure all documentation is filed and compliant.
  • Draft and send welcome announcements to internal teams.
  • Benefits & RRSP Administration
  • Enroll employees in benefits plans and manage plan changes upon request.
  • Track RRSP eligibility and distribute enrollment materials.
  • Make updates to employee RRSP and benefits plans in Dayforce, including election code setup.

Employee Support & Documentation

  • Draft and provide employment verification letters and other official documents.
  • Assist employees with accessing Dayforce and completing HR-related forms.
  • Keep employee data current and secure across digital platforms and internal trackers.

HR Process & Lifecycle Support

  • (Assist in Management) of layoffs (including voluntary): prepare letters, track recall timelines, and coordinate rehire steps.
  • Draft and distribute termination documentation and internal departure announcements.
  • Process terminations in Dayforce and coordinate updates to benefits and system access.
  • Monitor and manage invoices related to onboarding and HR services (e.g., background checks, medicals).
  • Maintenance of HR Related Measurables - update, maintain and distribute various charts / tables and other HR data.

HR Administration & Compliance

  • Manage the HR inbox.
  • Employment verification letters
  • Safety glasses, gym memberships, and wellness programs
  • Employee education & scholarship programs
  • Service awards
  • IT/Dayforce assistance and data updates
  • Track and maintain employee legal documentation (e.g., SIN, Work Permits, LMIA, Health Coverage).

Physical Requirements

  • Work is primarily conducted in an office setting
  • This position requires the ability to go onto the shop floor while wearing steel toe boots & PPE.
  • This position requires occasional travel to sites across Ontario.
  • The role involves routine desk work including sitting, using a computer, and light lifting of office supplies.

Preferred Qualifications

Qualifications:

  • 1-2 years of experience in an HR administrative & benefits support role.
  • Strong organizational skills with high attention to detail.
  • Experience with HRIS platforms such as Dayforce is strongly preferred.
  • Proficiency in Microsoft Office, Google Workspace, and tools like DocuSign.
  • Excellent communication skills, both written and verbal.
  • Proven ability to handle confidential information with discretion and professionalism.
  • Comfort with digital filing systems and internal communication platforms.

Nice to Have:

  • Post-secondary diploma or degree in Human Resources, Business Administration, or a related field.
  • Exposure to Ontario employment standards and benefits administration.
  • Experience supporting multi-site or unionized workforces.
  • Familiarity with HR documentation practices and compliance tracking.
