The Employee Services Assistant provides support to a wide range of human resource and payroll issues arising from a multi-site, multi-union environment with client services provided 24 hours per day and seven days per week. This position assists managers and staff in relation to processing employee transactions including payroll, staffing, employee benefits functions, collective agreement administration/interpretation, and labour relations. This position reports to the HR Manager with support from the Payroll Manager and HR Coordinator.

Duties will include but not be limited to:

  • Coordinating staffing of all positions for respective area of assignment and ensuring the staffing process is consistent and adheres to the collective agreement requirements, policies, and procedures.
  • Creating job openings, drafting/posting job ads, coordinating the posting of positions with the PSC, performing subsequent follow-up, and liaising with the PSC and HR unit staff/departmental managers.
  • Processing employment transactions in PeopleSoft system ensuring that all fields/records are correctly coded and changed appropriately.
  • Completing HR Action Forms and verifying information on forms received from managers and employees.
  • Working closely with Central Payroll to verify data entered in PeopleSoft system ensuring payroll is entered and processed accurately and in a timely manner.
  • Acting as a contact person for support and problem-solving payroll issues with employees, managers, supervisors, and timekeepers.
  • Maintaining time sheets, processing and monitoring top-ups for employees on unpaid maternity/paternity, WCB, CPP, Canada Savings Bonds
  • Gather information, documentation, and research on employment history, past and current practices, and staffing information as required.
  • Running and verifying various ad hoc reports.
  • Providing various administrative support functions; managing personnel files, maintaining databases, maintaining supplies, and responding to general inquiries.
  • Performing other duties as required.

Minimum Qualifications:

  • Successful completion of a degree or diploma in a related field (e.g. Human Resources, Office or Public Administration, etc.). Demonstrated equivalencies will be considered.
  • Experience as a human resources generalist (e.g. staffing, processing, labour relations, benefits, collective agreement administration, and interpretation, etc.) in a unionized environment would be preferred.
  • Experience working with or knowledge of the Health Sector Collective Agreements is preferred.
  • Experience and knowledge of PeopleSoft Human Resources/Payroll System would be preferred.
  • Strong interpersonal, client service, organizational, and communication (oral/written) skills.
  • Computer proficiency, including demonstrated ability in word processing, database management, retrieval, and spreadsheets.
  • Ability to be an effective team player, as well as the ability to work well under pressure and with minimum supervision.
  • Applicants must be able to pay attention to detail effectively.
  • A good previous work and attendance record.

Other Qualifications:

  • Formal training in Human Resources would be an asset.
  • Chartered Professional in Human Resources (CPHR) designation and /or Certification in Human Resource Management and/or Certification with the Canadian Payroll Association would be an asset.
  • Additional relevant education and experience will be considered an asset.

Salary Range: $28.93 - $34.44 per hour (Level 13)

Bi-Weekly Hours: 75 hours Bi-weekly / Days / Monday - Friday
