Job Summary:
As a Tenant Property Administrator, you will be involved in all aspects of assisting the Property Management Team at Kingsley Management. Your exceptional communication and organizational skills mean that you are able to respond to tenant inquiries, you convey professionalism, and your customer service skills are second to none. You will also assist the property manager with regular reporting, budgeting, tenant correspondence and general administration.
Key Responsibilities:
- Provide administrative support to Property Manager.
- Front line contact for tenants on an on-going basis to answer questions concerning property administration and resolve their concerns.
- Prepare correspondence for Property Manager and draft notices to tenants as required.
- Receive incoming requests for service - via phone, email, or in-person - from Tenants and responding by providing information, problem solving, or escalating the matter as appropriate.
- Draft tenant communication materials, for review by the Property Manager and ensure that tenant communication materials, e.g. Welcome/Move-in packages are accurate and up to date.
- Enter, update and maintain accurate tenant lease information in Yardi tenant database.
- Prepare and issue approved rental advice notices for any new tenants / leases and at the beginning of each year.
- Review monthly rent roll to ensure accuracy for billing.
- Maintain tenant and vendor contact lists.
- Work with Accounts Payable department to code all expenses.
- Solicit quotes for contracts (e.g. landscaping, snow clearing)
- Prepare tenant charge back invoices.
- Maintain schedule of up-to-date insurance certificates for all tenants and trades.
- Notify utilities for final meter reading requirements and billing changes if needed.
- Assist Property Manager in the preparation of monthly reports to Owners as required.
- Provide general office support (e.g. filing, scanning, photocopying, supply orders).
- Keep inventory of office supplies, cleaning supplies, and coffee bar items and order more as needed
- Maintain the cleanliness of the break room, including unloading and loading the dishwasher
- Crosstrain and provide support to team members throughout busy seasons or during absences
- Other general tasks that support the daily function of the office and company
Job Requirements:
- Minimum of 2 years' experience in property administration.
- Minimum of 1 year of experience in office administration
- Excellent customer service skills, proactive, results-oriented, and resourceful.
- Excellent verbal and written communications skills
- Strong working knowledge of Microsoft products (MS Word and Excel)
- Experience working with Yardi preferable.
- Able to maintain confidentiality with a professional business manner.

Pay: $45,000.00-$52,500.00 per year
