A well-established organization is currently seeking a highly organized and adaptable Customer Service Representative / Dispatcher to support a dynamic operations team. This administrative and coordination role is key to ensuring smooth customer communication, efficient dispatching, and accurate data handling.

Operating in a fast-paced and deadline-driven environment, this position requires strong attention to detail, flexibility with work hours, and the ability to manage multiple tasks effectively. The successful candidate will support with resolving customer inquiries, assist with routing logistics, and generate operational reports for management.

Key Responsibilities:

Daily Responsibilities:

  • Schedule and print driver routes
  • Address and resolve customer issues
  • Close driver routes upon completion
  • Monitor and manage shared email inbox
  • Coordinate call-ins and additional service requests
  • Handle inbound customer service phone calls

Weekly Responsibilities:

  • Temporary customer invoicing: review unbilled transactions, generate invoices, process credit card payments, and apply required approvals
  • Submit Correctional Service-related Bill of Landings
  • Process and send work orders/tickets to customers

Monthly Responsibilities:

  • Reconcile service tickets (semi-monthly)

Occasional Responsibilities:

  • Contact customers regarding service changes or rescheduling
  • Resequence driver routes when needed

Temporary Service Setup:

  • Prepare and send temporary service forms and credit card authorizations
  • Follow internal approval process
  • Complete data entry and forward documentation for internal review

Qualifications:

  • 2+ years in a CSR, dispatcher, or administrative role in a fast-paced environment
  • Proficient with Microsoft Office and data entry systems
  • Strong organizational and time management skills
  • Excellent verbal and written communication
  • Ability to work independently and collaboratively under tight deadlines
  • Flexible to adapt hours based on operational needs
