Job Summary
The Officer, Transportation Operations is responsible for providing daily administrative and process support to the Regional Superintendent and associated territory. Furthermore, the incumbent is involved in labour relations for grievance management.
Main Responsibilities
Administrative Support
Assist with derailment responses (e.g., coordinate and arrange senior travel, charter flights, accommodations, supplies)
Provide administrative support for the zone (e.g., develop and maintain accurate files and order supplies)
Provide adequate support to the Regional Superintendent and Assistant Superintendent
Arrange for facility, fleet and radio maintenance
Handle inquiries, supplies and room shortages related to hotel rooms for crews and for training
Oversee and run issues with the building's janitorial service and maintenance
Coordinate and attend annual staff meetings, town hall sessions and safety summits
Provide reports and respond to inquiries from Business Managers
Provides support in planning Safety Summits
Reporting
Provide reports to the Regional Superintendent and General Manager
Review and monitor the Performance Monitoring Compliance Rules and initiative targets
Oversee the Attendance Management System (AMS) for the zone, onboarding, flagged employees and Employee Performance Scorecards
Communications
Handle the Regional Superintendent's confidential correspondence
Oversee issues related to the Performance Assessment Process and Employee Dashboard
Issue notices, ensure timely and accurate information is indicated in accordance with the Canadian Rail Operating Rules
Financial Support
Work with financial partners to ensure proper capturing of expenses
Verify cost centres, handle office supplies with supplier and wireless spending and usage
Labour Relations
Respond to Step 2 grievances for the division, including forwarding grievances related to other departments and making administrative disciplinary adjustments in the Grievance Tracking System (GTS)
Working Conditions
The role has standard working conditions in an office environment with a regular workweek from Monday to Friday. Due to the nature of the role, the incumbent must be able to meet tight deadlines, handle pressure, stress, and confidential information with discretion.
Requirements
Experience
Administrative
Between 2 to 3 years of experience performing administrative duties
o Experience in the railway industry
Any experience for these above would be considered as an asset
Education/Certification/Designation
High School Diploma or General Educational Development (GED)
Technical Degree in Office Administration, or equivalent
Any designation for these above would be considered as an asset
