Event Administrator

Status: Full-Time - 12-month contract

Location: Toronto, ON - Hybrid

THE ROLE AND IMPACT:

The Event Administrator will report to the Senior Manager, Signature Events, and work alongside the Events and Community Fundraising Team (National and Third Party) as well as internal stakeholders to support administration tasks through the execution of CF Canada and third-party fundraising activity. A fast-paced role, working across multiple programs, the person needs to be flexible and adaptable to a busy workload and strong in using trackers and databases to manage workload.

RESPONSIBILITIES AND OPPORTUNITIES FOR GROWTH:

Administrative & Event Support

  • Assist the fundraising team with daily operations and administrative tasks, including managing calendars, scheduling meetings, and responding to mailbox inquiries.
  • Provide event logistical support including venue booking, vendor coordination, and ensuring necessary supplies are available. Communicating with vendors, sponsors and attendees as needed to meet deliverables.
  • Respond to insurance requests and tracking as well as sending and filing Memorandum of Understanding documents and contracts.
  • Prepare, organize, and send event materials, including invitations, programs, and attendee lists.
  • Support the management of fundraising collateral including stock inventory, ordering, packaging and distributing materials, storage unit overview and community merchandise requests.
  • Support in-office printing of materials and distribution of materials, cards and letters to donors/participants.
  • Entering data for internal finance, event, logistic and stewardship trackers for the team.
  • Administer participant registrations within the Peer-to-Peer system.
  • Set Up and deploy surveys and debriefs, prepare information for the analysis of post activity campaigns.
  • Updating and drafting PowerPoint presentations for internal use.
  • Provide administrative support for volunteer recruitment, onboarding and management.
  • Upload information to the website (content, copy and images). Participate in testing webpages and tracking activity. Creation of event pages as needed.
  • Updating event listings and regional pages on CF Canada platforms and websites.
  • File event applications, agreements, and compliance forms.

Data Entry & Reporting:

  • Track and update offline donations in the registration database or CRM system, ensuring accurate records of donor information and contributions.
  • Enter and update donor, sponsor and event-related data into Raisers Edge NXT (CRM), ensuring proper tracking and coding.
  • Track and update fundraising expense reports.
  • Assist in monitoring, generating and presenting revenue reports and review external platform funds (Benevity, DoubleTheDonation, etc) and allocating as necessary.
  • Report on event/activity metrics, budget and insights, providing monthly reporting to senior leadership team.
  • Monitor and track communications across the team (emails deployed).

Communications:

  • Monitor and track shared email mailboxes, ensuring timely and professional responses to incoming messages from donors, event participants, and stakeholders are handled inline with organizational policies.
  • Engage with members of the community via email and telephone, including supporting acquisition calling campaigns and fundraising coaching calls.
  • Draft emails within Engaging Networks for newsletters and stewardship communications to donors and participants and deploy.
  • Draft and schedule social media posts on regional Facebook and Instagram pages

Other

  • Represent Cystic Fibrosis Canada at various meetings and fundraising events when needed.
  • Other duties and responsibilities as assigned.

WHAT YOU BRING:

  • Post secondary education, certificate or equivalent work experience.
  • 2-3 years of administrative or event fundraising experience with a proven track record of working in a fast-paced environment with multiple priories.
  • Ability to use data analytics to present information.
  • Strong organizational and time-management skills with the ability to multitask with competing and changing priorities and within a fast-paced environment.
  • Strong communication skills (written and verbal); including email copy writing.
  • A cooperative team player able to work independently, using initiative.
  • Proficient in the use of Microsoft Office applications (including SharePoint, Word, Excel, PowerPoint and Outlook), databases (Raisers Edge & CrowdChange an asset).
  • Fluency in French communication skills (verbal and written) are an asset.
