The purpose of this position is to provide full administrative support as an integral member of the PMH team composed of, but not limited to Physicians, Nurse Practitioners, Nurses (RN/LPN), and other allied health providers and administrative support staff.

This position is responsible for maintaining the clinic schedule while ensuring accuracy and efficiency of day to day operations. Providing patients with information regarding services and programs and responding to inquiries. Receiving and managing referrals to and from other practitioners and services. Ensuring adequate and up to date information regarding patient files are received, sent and filed appropriately. Billing associated with clinic practitioners.

The incumbent is also responsible for ensuring the efficient day to day operation of the Medical Home/clinic and will report to the Network Admin Supervisor.

Duties will include but not limited to:

  • Reception duties such as receive clients, schedule appointments with members of the health team, prioritize emergency and urgent client appointments under the direction of the health care provider;
  • Answer incoming phone inquiries and direct inquiries as deemed appropriate;
  • Provide general office assistance such as communicate with staff, public and co-workers in a respectful and courteous manner; type and prepare letters for mailing, medical reports and other correspondence as requested by clinical staff; receive and sort incoming mail, redirect and assemble/organize outgoing mail for its destination.
  • Provide general clinical assistance such as pulling patient records for next day appointments with clinic staff
  • Record and enter patient demographics and claims into the Medical Billing System, and all other duties related to
  • the Medical Billing System, such as weekly electronic submission;
  • Receive bi-weekly payment files and vital statistics updates, and ensure completion of third-party claim forms;
  • Ensure that client/patient files (paper and electronic) are maintained accurately and the information in the files is current.
  • Type regular office correspondence, photocopy, fax and e-mail information as required;
  • Other duties as required

Minimum Qualifications:

  • Successful completion of Grade 12 supplemented by a Medical Support Services Program, Secretarial or Office Studies
  • Program with a specialized course in Medical Terminology.
  • Considerable experience in secretarial related work.
  • Experience working with computers and relevant software programs, and Dictaphone/editscript.
  • Typing speed of 50 wpm (net of errors).
  • Excellent communication skills and demonstrated ability to deal with the public in a respectful and confidential manner.
  • Demonstration of competent multi-tasking and organizational skills and the ability to work with minimal supervision.
  • Have a good previous work and attendance record.
  • Valid driver's license/access to reliable transportation

Other Qualifications:

  • Knowledge of the community and available resources is an asset.
  • Previous experience in a primary care practice or physician's office will be considered an asset
  • Knowledge of TELUS Collaborative Health Record (EMR) is an asset.

Salary Range: $26.67 - $29.00 per hour

Bi-Weekly Hours: 37.50 hours Bi-weekly / Monday - Friday / Days / Occasional Evening or Weekend May Be Required
