As we continue to grow, we are seeking a highly organized and proactive Executive Assistant to support our leadership team and help drive the success of the company.

Position Summary

The Executive Assistant will play a key role in supporting the company's executives and daily operations. This is a versatile position that involves administrative support, assistance with hiring and onboarding, billing and financial tasks, marketing coordination, and other responsibilities as needed. The ideal candidate is detail-oriented, efficient, and thrives in a fast-paced, entrepreneurial environment.

Key Responsibilities

  • Provide executive-level administrative support, including calendar management, meeting coordination, and correspondence.
  • Assist with recruitment efforts, including posting job listings, scheduling interviews, and supporting onboarding processes.
  • Support billing, invoicing, and expense tracking activities.
  • Coordinate marketing initiatives, including social media updates, website content, and promotional materials.
  • Maintain organized digital and physical filing systems.
  • Prepare reports, presentations, and internal communications as needed.
  • Liaise with internal teams, external partners, and service providers.
  • Handle ad hoc tasks and projects to support the company's operational needs.

Who You Are

  • Minimum of 2-3 years of experience in an administrative or executive assistant role (experience in real estate or a related field is an asset).
  • Strong organizational and multitasking skills, with the ability to prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • High level of professionalism, discretion, and attention to detail.
  • Proactive, adaptable, and comfortable working in a dynamic environment.
