The Opportunity:
Reporting to the Manager of IT and Administration, the Office Systems Coordinator ensures smooth operation of office systems by providing both administrative and technical support to maintain an efficient workplace. This role involves sourcing and implementing innovative technological solutions to improve internal processes and systems. Key responsibilities include administering web applications, providing training and support to non-technical users, troubleshooting issues, researching new products and services, and performing various administrative and operational functions.
What You Will Do:
Basic IT Support: Provide day-to-day support for office systems in a hybrid environment, including common office applications and software, meeting room setup, and AV equipment; assist with onboarding and IT training for new employees.
Web applications: Manage and support a variety of web applications, including tools such as Adobe applications, Asana, Onboard, Zoom, MS Teams and other collaborative platforms; ensure the smooth integration and functionality of these applications to enhance team productivity and streamline internal workflows; provide training and troubleshooting support to staff to ensure these tools are utilized effectively; manage renewals, licenses, user access, configuration and settings; stay informed about new features or updates to ensure the organization is maximizing the potential of these web applications.
Research and Innovation: Drive improvements by evaluating and enhancing internal systems and workflows, ensuring they align with organizational goals and boost overall efficiency. Identify areas where internal processes can be improved and gather requirements for further research on new software, services, and products. Conduct thorough research to identify viable solutions, coordinate product demos, and collect quotes. Analyze options and provide recommendations to ensure informed decision making.
Implementation and Training: Lead implementation processes, coordinate with internal and external teams to ensure smooth integration with existing systems. Develop and deliver training materials to staff, addressing teams' technological competency needs to ensure effective adoption and usage.
Convention & Event Support: Provide administrative and technical support to the broader team with technology planning and administrative needs for PDAC's annual Convention, including logistics coordination, technology readiness, on-site administration, and post event activities such as cleanup and inventory.
Administrative Support: Maintain inventory of office furniture and office equipment, coordinate facilities and vendor services; format and prepare documents and reports; manage offsite records storage; assist with office improvement projects and provide back up support to reception as needed.
Health & Safety: Promote a safe and secure work environment by overseeing emergency procedures, coordinating fire drills, and ensuring compliance with relevant policies.
Additional Duties: Take on other duties as needed to support PDAC's business needs.
You Have:
• A diploma or degree in a relevant field (e.g. Information Technology, Business Administration) or equivalent education, training, and experience.
• A minimum 2 years of experience in IT support or office administration.
• Strong understanding of web-based applications, including cloud-based tools and SaaS platforms and experience with managing renewals, licenses, user access, and configuration.
• Previous experience in troubleshooting, IT training, and day-to-day user support.
• Experience with implementation of new technologies and systems and user training.
• Excellent interpersonal, verbal and written communication skills.
• Proactive attitude and willingness to take initiative in identifying areas for improvement and driving solutions.
• Strong analytical and troubleshooting skills with a keen eye for detail.
