The Role

We are looking for a detail-oriented and proactive Billing Operations Specialist to join our team. This role will be responsible for managing the end-to-end billing process, including setting up subscriptions, processing payments, reconciling accounts, and ensuring smooth coordination across the GTM teams. You'll play a critical role in supporting revenue operations and delivering a seamless billing experience for Wiza's customers.

Key Responsibilities

Customer & Subscription Management

  • Create and maintain customer master data in Stripe based on new sales agreements.
  • Set up and manage customer subscriptions in Stripe and the Wiza backend.
  • Manage invoice creation and monthly/quarterly billing schedules and ensure timely collections.
  • Track successful and failed payments, addressing issues as needed.

Accounts Receivable & Payment Operations

  • Process customer payments using multiple methods via Stripe.
  • Monitor and reconcile bank transactions with remittances; post collections accordingly.
  • Investigate and resolve payment discrepancies and disputes, including those raised in Stripe.
  • Respond to customer inquiries regarding billing and payment issues.
  • Proactively communicate with customers regarding delayed payments.
  • Perform regular AR reconciliation and support reporting efforts.

Billing & Process Optimization

  • Address and resolve billing issues promptly, minimizing customer impact.
  • Serve as the main point of escalation for billing-related inquiries, ensuring SLA adherence.
  • Prepare and validate monthly billing reports and KPIs for internal stakeholders.
  • Identify opportunities for process improvement, automation, and efficiency.
  • Maintain up-to-date documentation for billing processes, procedures, and policies.

Team Support & Cross-functional Collaboration

  • Collaborate with Sales, Customer Success, and other Finance team members to align on billing and revenue operations.
  • Support audits and ensure compliance with internal controls and external regulations.

What you bring

  • 2-4 years of experience in billing, AR, or finance-related roles, preferably in a SaaS or subscription-based business.
  • Proficiency in Stripe or other payment processing platforms.
  • Familiarity with SaaS sales agreements and subscription lifecycles.
  • Prior exposure to dispute management and financial reporting.
  • Experience with financial systems and bank reconciliations.
  • Strong analytical and problem-solving skills with high attention to detail.
  • Excellent communication and customer service skills.
  • Self-starter with the ability to work independently and cross-functionally.
  • Comfortable managing multiple priorities in a fast-paced environment.
