We are seeking a highly skilled and dynamic Administrative Assistant to join the team of our exclusive client, a prestigious boutique real estate brokerage situated in Ottawa's desirable Central East End.
The ideal candidate will be a highly adaptable, professional, and confident individual with excellent communication skills. They will be comfortable with a varied workload, including travel to property listings, client deliveries, and office work, and be a team player who can handle diverse tasks and support colleagues in a small office setting, adapting to needs as they arise. The successful candidate will be proactive, detail-oriented, and able to manage multiple responsibilities, prioritizing tasks and maintaining strong client relationships.
Required skills and qualifications:
- 1-2 years' administrative experience within a fast-paced environment
- Post-secondary diploma or degree required
- Must be comfortable working 1 Sunday per month
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Canva, Adobe Photoshop and Illustrator
- Meticulous attention to detail and high level of accuracy
- Strong organizational and time management skills
- Adaptable and flexible with a willingness to perform various tasks, including administrative work, property prep, and errands
- Ability to work independently and take initiative, with a sense of accountability and ownership for tasks and projects
- Demonstrate a high degree of professionalism and discretion; maintain confidentiality, be respectful and diplomatic
- Mature and punctual with a high level of professionalism
- Strong analytical thinking, judgment, and problem-solving skills
- Ability to work in a fast-paced environment with a sense of urgency and energy
- Reliable vehicle for work-related tasks (Mileage paid)
Duties may include but are limited to:
- Visit property listings to secure and place lockboxes, prepare homes for showings, and lock up afterwards
- Install sandwich boards for open houses on a monthly basis (typically Sundays)
- Deliver items to clients, maintain and update client relationships, and provide weekly reporting with statistics and market updates
- Design and send promotional materials, organize direct mail drops, ensure timely advertisement placement, and perform general office support functions
- Compile and analyze sales charts and statistics for a small market
- Run errands, including pickups and deliveries, and collaborate as a team member to support the team's success
- Perform general office support functions as required
