What You'll Do

In this role, you'll coordinate and support the development of proposals from the moment an opportunity is identified through to final submission. You don't need to be a proposal expert yet, and you won't be responsible for writing technical content or pricing - our engineers and subject matter experts handle that. Your focus will be on organizing the process, shaping the messaging, and ensuring everything comes together smoothly.

Responsibility

• Lead the proposal process from inception to submission, ensuring compliance, high-quality, and timely delivery
• Organize kick-off meetings and set clear deadlines
• Set up a customized proposal template for each opportunity
• Write, edit, and refine content with clarity and creativity
• Adapt existing marketing materials such as resumes and project descriptions to fit new opportunities
• Review proposals to ensure all required content is included and that the final product is polished, consistent, and error-free
• Track active proposals and contribute ideas to improve our process
• Use tools like Microsoft Office and Adobe InDesign to create compelling documents
• Manage multiple concurrent initiatives in a fast-paced, deadline-driven environment
• Help foster a positive, inclusive, and high-performing team culture

Requirements

• College Diploma or University Degree in Marketing, Communications, Business, English, Journalism, Technical Writing, or a related discipline
• A strong communicator with excellent writing and proofreading skills
• Detail-oriented and highly organized
• A team player who can manage multiple projects and meet deadlines
• Curious, adaptable, and eager to learn
• Comfortable working with people across different disciplines and levels
• Proficient in Microsoft Office (Word, PowerPoint, Excel). Experience with Adobe InDesign is a plus

Experience That's a Plus

• AEC industry experience
• Familiarity with proposals, RFPs, or fast-paced, deadline-driven environments
• Graphic design talent and experience
