The Role

Reporting directly to the Publisher, the Executive Assistant to the Publisher will serve as a critical right hand, ensuring that day-to-day operations run smoothly, calendars are optimized, and key strategic initiatives are well-coordinated. This role is ideal for a detail-oriented professional with strong organizational and interpersonal skills, who thrives in a fast-paced business and media environment and enjoys working closely with leadership.

Key Responsibilities:

  • Manage the Publisher's calendar, schedule meetings, and coordinate travel, ensuring efficient time management and prioritization of key activities.
  • Serve as a liaison between the Publisher and internal departments, clients, and external stakeholders.
  • Assist with the preparation of presentations, reports, internal memos, proposals, and strategic materials.
  • Support planning and execution of meetings, briefings, and events-handling logistics, materials, and follow-ups.
  • Manage confidential information with professionalism and discretion.
  • Track and help move forward special projects involving the Publisher, including initiatives related to editorial, business development, partnerships, and events.
  • Handle incoming correspondence, prioritize requests, and ensure timely responses or delegation.
  • Anticipate the needs of the Publisher and take initiative to improve administrative systems and workflows.
  • Attend occasional events outside of regular work hours as required.

What We're Looking For:

  • Adaptability: Comfortable working in a fast-paced, evolving business and media environment.
  • Initiative: Proactive, resourceful, and solutions-oriented with a can-do attitude.
  • Experience: 2+ years in an executive assistant, administrative, or operations role, preferably supporting senior leadership.
  • Business background: An educational background in business, marketing, accounting, or finance are preferred but not required.
  • Communication: Strong verbal and written communication skills with a professional and engaging style.
  • Organizational Skills: A natural multitasker with an eye for detail, capable of managing multiple priorities with tight deadlines.
  • Tech Savvy: Proficiency in Microsoft Office, Google Workspace, calendar management tools, and virtual meeting platforms.
  • Professionalism: Exceptional discretion and reliability when handling confidential information and high-level communications.
  • Interest in Politics/Media: A genuine interest in politics, policy, or journalism is a strong asset.
  • Bilingual: English/French bilingualism is an asset, but not required.
  • Comfortable with a hybrid work environment : Working from both home and the Ottawa office.
